Find out more about us: About us | Alpega ABOUT THE ROLE The Junior Executive Assistant provides high-quality, confidential administrative and organizational support to 2–3 C-Level executives, ensuring their day-to-day agendas, communications, and priorities run smoothly. This is a junior-level position in scope, title, and pay band — but given the responsibility of supporting several executives at once, it is best suited to someone with some prior EA/PA or administrative coordination experience rather than a first job. The successful candidate will receive structured onboarding and ongoing mentorship from the Team Lead Workplace & Office Experience and the wider EA team. Key Responsibilities Manage complex, shifting calendars for 2–3 executives, prioritizing and re-prioritizing meetings across time zones Coordinate travel arrangements for the executives on an ad hoc basis, including itineraries and last-minute changes, when required Prepare meeting materials, agendas, minutes, and follow-up action trackers Handle correspondence, screen and route communications with discretion and professionalism Process expense reports and support budget tracking for the executives supported Support the coordination of internal and external events, offsites, and leadership meetings Liaise closely with other Workplace Experience Partners/EAs and the Team Lead Workplace Experience & EA to ensure consistent standards and seamless cover during absences Act as a trusted point of contact between the executives and internal/external stakeholders Handle confidential and sensitive information with absolute discretion Take on ad hoc projects and tasks as priorities evolve WHAT WE LOOK FOR IN YOU • At least 1–2 years' experience as an EA, PA, or in a fast-paced administrative/coordination role; this is a junior-level role but not a first job, given the scope of supporting several executives at once Business-fluent English (C1/C2), spoken and written, is required. Spanish a strong advantage given the Barcelona/San Cugat location Any other European language is a plus. Used to change and comfortable with shifting priorities — this role rarely looks the same two days in a row Genuinely proactive: anticipates needs before being asked, rather than waiting for instructions Positive, can-do attitude, even under pressure or tight deadlines Willing to go the extra mile and step outside the comfort zone when the business needs it Excellent time management and ability to juggle competing demands across several executives at once Flexible and comfortable stepping in for occasional ad hoc travel or off-schedule requests when they arise, while being primarily office-based day to day Strong team player — this role sits within a close-knit team of Workplace Experience Partners/EAs who support one another Confident user of MS Office/Outlook, calendar tools, and travel-booking platforms High level of discretion, integrity, and professionalism when handling confidential matters Working Model & Travel This is a hybrid role, primarily based out of the Sant Cugat / Barcelona office in Spain (min 3 days), with the expectation of regular in-office presence to support in-person executive needs, combined with remote flexibility on quieter days. Travel is not a core requirement of the role — the executives supported are largely based outside of Spain — but the candidate should be flexible enough to support occasional ad hoc travel or last-minute logistics if and when it arises.
