Exus is seeking a detail-oriented and relationship-driven Land Administration & Compliance Coordinator to serve as the primary liaison for landowners leasing property for our renewable energy projects.

In this role, you will manage contractual compliance, landowner onboarding, and lease lifecycles—ensuring all critical dates, documentation, and payment obligations are flawlessly met.

(Note: This role focuses entirely on contractual and lease compliance, not regulatory frameworks like NERC or FERC).

Key Responsibilities

  • Landowner Relations + Primary Point of Contact:
    • Act as the dedicated liaison between landowners and Exus across every phase of the project lifecycle, from early-stage development to groundbreaking and long-term operations.
    • Address landowner communications, questions, and concerns promptly by coordinating across internal departments to deliver clear, timely answers.
  • Onboarding + Due Diligence:
    • Lead the initial landowner kick-off call to introduce Exus, build a strong working relationship, and walk partners through payment processes, expectations, and documentation requirements.
    • Perform rigorous Know Your Customer (KYC) due diligence—verifying identity, legal ownership/authority, entity/estate status, and payment eligibility prior to setup.
    • Collect, validate, and securely store all required onboarding paperwork (e.g., Payee Information Forms, W-9s, bank verification letters) and partner directly with Accounts Payable to ensure error-free payee and banking setup.
  • Lease + Contract Compliance Management:
    • Create and actively monitor project land compliance matrices derived from the terms and requirements of each landowner agreement.
    • Track contract lifecycles, renewal and termination options, and critical dates to ensure every deadline and contractual obligation is met.
    • Organize, administer, and audit all land documentation, tracking amendments, new agreements, and terminations.
  • Financial Auditing + Tax Administration:
    • Perform monthly payment audits to verify that project accountants have successfully completed all due disbursements, maintaining a comprehensive ledger of payment completion.
    • Administer and monitor Property Tax, PILOT Agreements, and Tax Abatement documentation, interfacing directly with third-party property tax consultants and local tax entities.

Experience + Education Requirements

  • Bachelor’s degree (or equivalent experience) required.
  • 1 or more years of professional experience managing property contracts and compliance required.
  • Exceptional communication, relationship-building, and multi-tasking skills required.
  • Meticulous attention to detail and proficiency in Microsoft Office 365, SharePoint, and Adobe required.
  • Working knowledge of project accounting/calculations highly preferred.
  • Active Notary Public highly preferred.
  • Ability to travel to client sites up to 10% of the time required.
