Description

Are you ready to play a key role in turning great designs into real, thriving communities? At DCCM, our Land Services Department provides critical support for District, construction, and land development teams—bridging the gap between design and delivery. From coordinating capacity availability letters with the District to construction substantial completion, our team ensures that every project moves smoothly from concept to completion. We play an integral part to transform designs into functional, high-quality developments that strengthen Texas communities and enhance quality of life.

We are seeking a Land Services Coordinator to provide advanced support to the Construction Management and Land Services departments and help ensure the smooth execution of land-related activities and project workflows. This role requires a highly organized, detail-focused professional with strong communication skills, the ability to manage complex tasks, and a solid understanding of land services processes. The Senior Coordinator will take a proactive role in coordinating documents, improving workflows, supporting compliance efforts, and serving as a key resource for both internal teams and external partners. Flexibility, initiative, and sound judgment are essential as priorities evolve with project and business needs.

Key Responsibilities

• Serve as a professional and knowledgeable point of contact for internal staff, clients, and external stakeholders.
• Provide advanced administrative and operational support to the Land Services and Construction Management teams.
• Oversee the organization, maintenance, and accuracy of both digital and physical filing systems, ensuring accessibility and compliance with company standards.
• Review, prepare, and coordinate land-related documents, contracts, easements, agreements, and project records with a high level of accuracy.
• Monitor project timelines, deliverables, and task progress, ensuring deadlines are met and communicating status updates to team members.
• Draft, edit, and format proposals, letters, reports, presentations, and project correspondence.
• Manage incoming communications, including calls, emails, and documentation, ensuring prompt and professional responses.
• Coordinate meetings, conference room setups, and project-related scheduling for cross-department efforts.
• Input, track, and maintain data in spreadsheets, databases, and systems such as Vantagepoint.
• Support compliance efforts by ensuring documentation aligns with internal policies and relevant legal or regulatory requirements.
• Assist in enhancing processes, templates, and organizational systems to improve efficiency across departments.
• Mentor or provide guidance to junior administrative staff as needed.

• Provide front desk coverage during the receptionist’s breaks, lunch periods, and absences as needed.
• Perform special projects, research, and additional tasks to support land services operations and leadership.

Requirements

• Associate or bachelor’s degree in Business Administration, Real Estate, or a related field preferred; equivalent experience will be considered.
• 3+ years of experience in land services, real estate support, project coordination, or a related administrative role.
• Advanced proficiency in Microsoft Office Suite and experience with digital document management and database systems.
• Strong understanding of land acquisition, leasing, right-of-way, and regulatory processes (preferred).
• Exceptional organizational, multitasking, and time-management abilities with strong attention to detail.
• Excellent written and verbal communication skills.
• Proven ability to manage shifting priorities, meet deadlines, and support multiple teams simultaneously.
• Ability to work independently while collaborating effectively with cross-functional groups.
• Strong problem-solving skills and the ability to identify and implement process improvements.
• Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
