About This Role
The Program Manager owns the delivery of CareerJoy’s client programs and partnerships, combining program oversight with hands-on coordination. You bring people, schedules, systems, and learning experiences together so clients and participants receive consistent, thoughtful service from initial setup through completion and follow-through.
Your portfolio includes modular blended learning programs, tailored People and Culture solutions, Leadership & executive coaching and coaching circles, psychometric assessments, and workshops. For custom initiatives, you also manage and participate in the project from discovery through development and delivery, keeping requirements, content, timelines, scope, and cross-functional milestones aligned.
You build trusted client relationships, work closely with Practice Leaders, solution and instructional designers, coaches, and facilitators, and monitor delivery against agreed outcomes. You are equally comfortable leading a client progress meeting, resolving a delivery issue, or handling invitations, onboarding, and live event technology. This role offers a voice in improving how CareerJoy works and delivers its services.
The Role
Program Ownership & Client Partnerships
- End-to-End Program Ownership: Manage the full delivery lifecycle—from kickoff, setup, and participant onboarding to workshop execution, coaching streams, assessment debriefs, and structured follow-through.
- Primary Contact & Relationship Nurturing: Serve as the primary contact for assigned client partnerships, holding regular check-ins during active engagements and post-delivery to foster long-term trust, account retention, and ongoing collaboration.
- Outcome Storytelling: Monitor delivery against client goals, collaborating with Practice Leaders to synthesize outcome data, participant growth stories, and impact metrics for executive account reviews.
Project Management & Delivery Coordination
- Custom Project Leadership: Manage tailored initiatives from discovery to completion—coordinating requirements, content development, dependencies, risks, and handoffs across solution architects, instructional designers, and delivery teams.
- Delivery Logistics & Escalation: Build work-back schedules, coordinate materials/invitations, anticipate operational bottlenecks, and resolve scheduling, tech, or participant issues, serving as the frontline point of escalation.
Assessments Administration & Event Production
- Assessments & Portals: Administer assessment tools (e.g., EQ-i 2.0, DiSC, 360 surveys), coordinate debriefs, and guide participants through learning portals.
- Virtual & On-Site Production: Direct workshop and coaching event production across Microsoft Teams and Zoom (event setup, breakout rooms, facilitator prep, live tech troubleshooting) as well as on-site logistics
Feedback Synthesis & Continuous Improvement
- Holistic Feedback Translation: Capture and aggregate multi-channel feedback (pulse surveys, coach observations, debriefs) to refine content pacing, improve internal workflows, and elevate both team and client experiences.
- Systems Integrity & Workflow Optimization: Maintain clean CRM and program records (HubSpot, PandaDoc, project platforms) and leverage frontline insights to enhance templates, quality controls, and CareerJoy’s evolving Microsoft 365/Teams environment.
- Cross-Functional Team Guidance: Guide facilitators, coaches, and support staff through collaborative coordination, keeping client goals, delivery responsibilities, and milestones clear.
What you bring
- 4+ Years of Relevant Experience: Program/project management, service delivery coordination, or event planning in professional services, corporate L&D, or leadership development.
- Blended Learning Expertise: Experience delivering programs combining virtual/in-person workshops, coaching streams, and psychometric assessments.
- Balanced Execution: Ability to manage high-level project schedules and client progress meetings alongside direct execution of tactical coordination during peak volumes.
- Relationship Focus: Proven ability to build and sustain high-trust relationships with HR leaders, corporate partners, and public sector executives.
- Tech Savviness: Proficiency with M365, Teams, Zoom, HubSpot (or equivalent CRM), Asana, and survey/assessment tools.
Preferred Assets
- Full professional fluency in English and French, written and spoken, to support our national bilingual client base.
- Proximity to Ottawa to support hybrid operations, local partner engagements, and occasional on-site workshops.
