πŸ’Ό About the Role

We are seeking an experienced Lease Administrator to oversee the end-to-end lease management lifecycle for a multi-tenant commercial and retail portfolio. Working directly with Property Management and Accounting teams, you will be responsible for abstracting complex leases, ensuring database integrity, managing recurring billings, handling annual CAM reconciliations, and tracking critical path lease dates.

🎯 Key Responsibilities

  • πŸ“„ Lease Abstracting & Data Integrity: Abstract incoming commercial leases, amendments, renewals, assignments, and side letters into Yardi/MRI; maintain up-to-date lease records across a multi-state retail/mixed-use portfolio; track critical dates (expirations, renewal options, rent escalations, co-tenancy, termination options).

  • πŸ’° Financial & Rent Roll Administration: Process monthly rent billings, percentage rent, CPI adjustments, and step-up increases; manage security deposits, letters of credit, tenant ledgers, and balance reconciliations.

  • πŸ“Š CAM & Operating Expense Reconciliations: Assist accounting teams in preparing and auditing annual Common Area Maintenance (CAM), tax, and insurance reconciliations; audit lease terms to verify pro-rata shares, caps, and expense exclusions; address tenant inquiries and audit requests.

  • πŸ“‹ Compliance & Support: Track Certificates of Insurance (COIs) to ensure continuous coverage; draft standard lease documentation (Estoppel Certificates, SNDAs, Commencement Notices); assist with acquisitions/dispositions due diligence.

⭐ Core Requirements:

  • Experience: 3–5+ years of dedicated lease administration experience in commercial real estate (retail or mixed-use experience preferred).

  • Technical Skills: Hands-on experience with commercial real estate software (Yardi Voyager, MRI, or similar) and advanced MS Excel capabilities.

  • Lease Literacy: Demonstrated ability to read, interpret, and abstract complex commercial legal documents and financial terms.

  • Accounting Basics: Strong understanding of NNN charges, CAM reconciliations, percentage rent, and tenant ledgers.

  • Education: Bachelor’s degree in Business, Real Estate, Accounting, or equivalent field experience.

  • Schedule Alignment: Ability to work fully aligned hours with US Pacific Time (PST).
