The Role
We are seeking an experienced Leasing Manager to lead leasing activities across residential, commercial, retail, or mixed-use properties.
The successful candidate will oversee leasing strategy, tenant acquisition, negotiations, renewals, occupancy, rental performance, lease administration, and leasing-team performance while ensuring compliance with applicable regulations and company policies.
Key Responsibilities
- Lead and manage the organization's leasing function.
- Develop and execute leasing strategies aligned with property and asset-management objectives.
- Establish occupancy, rental-income, tenant-retention, and leasing-performance targets.
- Manage the complete leasing lifecycle from prospect generation through lease execution and renewal.
- Monitor property availability and maintain accurate leasing inventories.
- Develop strategies to maximize occupancy and rental income.
- Analyze market conditions, rental rates, competing properties, tenant demand, and vacancy trends.
- Conduct regular rental-market analysis and recommend appropriate rental rates.
- Support property positioning, tenant segmentation, and leasing strategies.
- Develop leasing plans for vacant, upcoming, and underperforming units.
- Coordinate with Marketing teams to promote available properties.
- Review advertising channels and lead-generation performance.
- Monitor leasing inquiries, leads, viewings, applications, and conversions.
- Develop strategies to improve lead-to-lease conversion.
- Manage relationships with prospective tenants and existing tenants.
- Coordinate property viewings, inspections, presentations, and leasing discussions.
- Handle high-value, strategic, corporate, or complex leasing opportunities.
- Negotiate rental rates, lease terms, incentives, deposits, payment schedules, renewal terms, and other commercial conditions within approved authority.
- Ensure negotiated terms align with company policies, market conditions, and asset objectives.
- Escalate exceptional commercial terms for appropriate approval.
- Prepare and review lease proposals, offers, term sheets, and related documentation.
- Coordinate lease execution with Legal, Finance, Property Management, and tenants.
- Ensure leases are executed accurately and within required timelines.
- Monitor lease commencement dates, expiration dates, renewal options, rent-free periods, incentives, deposits, and other contractual terms.
- Maintain accurate lease records and documentation.
- Monitor upcoming lease expirations and develop proactive renewal strategies.
- Contact tenants well in advance of lease expiry.
- Negotiate lease renewals while balancing tenant retention and rental-income objectives.
- Monitor renewal rates and tenant retention.
- Identify tenants at risk of non-renewal and develop retention strategies.
- Manage tenant relocation, expansion, contraction, or space-change requirements where applicable.
- Monitor vacant units and develop targeted leasing strategies.
- Coordinate with Property Management and Facilities teams to ensure vacant properties are ready for occupancy.
- Track property readiness, maintenance requirements, fit-out status, utilities, access, and other conditions affecting leasing.
- Escalate property-readiness issues that could delay tenant move-in.
- Coordinate tenant handover and move-in activities.
- Work with Facilities and Property Management teams to ensure a smooth transition into leased premises.
- Monitor tenant move-out and lease-termination processes.
- Coordinate inspections, handover, reinstatement, deposit management, and vacancy preparation.
- Analyze reasons for tenant turnover and develop retention or property-improvement recommendations.
- Maintain strong tenant relationships throughout the lease lifecycle.
- Address leasing-related tenant complaints and escalations.
- Coordinate with Property Management and Customer Service teams to resolve tenant issues.
- Ensure leasing communications are professional, timely, and appropriately documented.
- Monitor rental collections in collaboration with Finance and Property Management teams.
- Identify tenants with overdue rental payments or recurring payment issues.
- Escalate significant rental arrears and coordinate appropriate actions.
- Ensure lease terms, payment schedules, deposits, and charges are accurately reflected in financial systems.
- Coordinate with Finance regarding rental invoicing, payments, deposits, adjustments, and reconciliations.
- Monitor rental income against budgets and forecasts.
- Prepare leasing forecasts based on occupancy, renewals, market rents, vacancies, and expected move-ins.
- Analyze rental-income performance and identify opportunities for improvement.
- Monitor occupancy and vacancy rates by property, building, unit type, location, and tenant segment.
- Develop strategies to reduce vacancy periods.
- Track leasing performance against annual and monthly budgets.
- Support asset-management teams with rental-income and occupancy analysis.
- Provide recommendations regarding rental rates, incentives, tenant mix, and leasing strategy.
- Monitor tenant and property concentration risks.
- Support commercial and retail tenant-mix strategies where applicable.
- Evaluate prospective tenants based on financial capacity, business suitability, use requirements, reputation, and other approved criteria.
- Coordinate tenant screening and due-diligence processes.
- Work with Compliance, Legal, Finance, and Risk teams to complete required checks.
- Ensure tenant documentation is complete and accurate before lease approval.
- Monitor compliance with applicable tenancy, property, commercial, and regulatory requirements.
- Ensure leasing activities comply with company policies and approval authorities.
- Coordinate with Legal regarding lease agreements, amendments, disputes, renewals, and terminations.
- Ensure appropriate documentation is maintained for all lease transactions.
- Support resolution of lease disputes and contractual issues.
- Maintain appropriate audit trails for leasing approvals and transactions.
- Monitor lease amendments, variations, assignments, subleases, and other contractual changes.
- Ensure all amendments receive appropriate approvals.
- Manage relationships with external leasing agents, brokers, consultants, and other intermediaries.
- Establish broker-performance standards and commercial arrangements.
- Monitor broker-generated leads, transactions, commissions, and conversion rates.
- Evaluate broker performance and identify high-performing leasing channels.
- Negotiate broker agreements and commission arrangements within delegated authority.

Candidate Profile
The successful candidate should have experience in property leasing, real estate, property management, commercial property, residential property, retail leasing, or a closely related discipline.
