The Purpose:

We are looking for a Legal Assistant to support our Legal Team. As the Legal Assistant, you'll work closely with our Assistant General Counsel and Chief Legal Officer (CLO), serving as a key resource for legal operations, contract administration, corporate record-keeping, compliance activities, and executive support.

In this role, you'll be at the center of a fast-paced and collaborative environment, coordinating priorities, managing critical documents, supporting legal processes, and helping ensure the Legal Team operates effectively across the organization. You'll partner with leaders and teams throughout the company, providing exceptional organization, attention to detail, and discretion while handling sensitive and confidential information.

The Job:

  • Legal and Administrative Support
    • Provide day-to-day administrative support to the Assistant General Counsel and CLO.
    • Manage calendars, schedule meetings, coordinate travel arrangements, and prepare meeting materials.
    • Maintain legal department files, records, and electronic document management systems.
    • Assist with the preparation, formatting, proofreading, and distribution of legal documents, correspondence, presentations, and reports.
    • Process invoices and track legal department expenses.
  • Contract Administration
    • Support the contract lifecycle process, including intake, routing, execution, storage, and abstracting of agreements.
    • Maintain contract databases and track renewal dates, expiration dates, and key contractual obligations.
    • Coordinate signatures and ensure fully executed agreements are properly filed and distributed.
    • Assist in gathering information and documentation for contract review and negotiations.
  • Corporate Governance and Compliance
    • Maintain corporate records, entity documentation, licenses, permits, and state and federal registrations.
    • Assist with the preparation of intellectual property applications, renewals and related filings, and maintain, update and monitor our intellectual property docket.
    • Support compliance initiatives, policy updates, and legal training activities.
    • Assist with monitoring deadlines related to corporate filings and regulatory requirements.
    • Help prepare materials related to board meetings, corporate governance, and internal audits.
  • Litigation and Risk Management Support
    • Assist with document collection and organization related to claims, litigation, discovery requests, employment matters, and insurance requests.
    • Coordinate legal holds and document retention activities as directed by legal counsel.
    • Monitor service of process notifications and assist in undertaking an appropriate response.
    • Assist with the preparation, distribution and collection of certificates of insurance.
    • Maintain confidentiality of sensitive legal and business information.
  • Cross-Functional Collaboration
    • Serve as a liaison between the Legal Department and business partners, including Human Resources, Finance, Operations, Project Management, Executive Leadership, Outside Counsel and Insurance Advisors.
    • Respond to routine inquiries and route legal requests to the appropriate team members.
    • Support special projects and department initiatives as assigned.

The Person:

  • Associate's degree or equivalent combination of education and experience.
  • 3+ years of administrative experience supporting legal, executive, compliance, or corporate functions.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams, and Adobe Acrobat.
  • Excellent organizational, time management, and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.

Preferred Qualifications:

  • Previous experience supporting an in-house legal department, law firm, or corporate executive team.
  • Experience with contract management systems and electronic document management platforms.
  • Familiarity with legal terminology, contract administration, corporate governance, and compliance processes.
  • Notary Public certification or willingness to obtain certification.
