Position Type: Full-Time (Primarily Remote)

Salary: $27.50-$37.50 per hour DOE

Position Summary

We are seeking a highly organized, detail-oriented, and proactive Legal Assistant to support our growing Legal department in an organization expanding through mergers and acquisitions. Reporting to the Senior Contracts Manager, this role will provide critical support to our legal function, with a specific focus on coordinating and streamlining contract workflows, managing signature processes, updating forms and templates, maintaining legal records, and tracking project tasks across multiple workstreams. The ideal candidate is proactive, highly accurate, comfortable working in a fast-paced environment, and able to bring structure and follow-through to recurring legal processes.

Key Responsibilities

  • Contract Administration & Signing Process: Manage the intake, tracking, and end-to-end signing workflows for a high volume of customer contracts, forms, and service agreements through e-signature tools (e.g., DocuSign). Monitor document status, identify missing information or signatures, and proactively follow up with internal stakeholders and external parties to keep matters moving. Ensure timely processing, follow up with signatories and confirm completion of all documents. Archive executed files in central repositories
  • Form Management: Support the completion, standardization, and execution of customer-facing and other external forms (e.g., vendor onboarding packets, tax setup forms, and basic compliance questionnaires/certifications), ensuring accuracy and alignment with internal policies. Coordinate with Finance, People Operations, IT, and other teams to gather information needed for legal documents and routine agreements. Build and maintain a repository of pre-approved Lemnis information for standardized responses
  • Administrative Support: Assist the Legal team with day-to-day legal department operations, including filing, document management, and drafting various letters and correspondence. Assist with corporate entity maintenance, including state business registrations, foreign qualifications, and annual reports. Assist attorneys and paralegals with formatting, proofreading, comparing versions, preparing clean execution copies, and organizing supporting materials
  • Cross-Functional Coordination: Serve as a point of contact for internal teams and divisions (e.g., Sales, Finance, HR, InsideTrack, Mainstay) regarding the status of pending contracts, forms, and signature requests, facilitating clear communication and quick turnarounds
  • Process Documentation: Help maintain and update legal department templates, playbooks, file organization, folder structures, and procedural documentation to support operational efficiency
  • Reporting & Data Integrity: Assist in maintaining contract management systems and trackers (e.g., Smartsheet), ensuring all records are up-to-date, organized, and easily retrievable
  • Mail & Check Processing: On a routine basis, oversee the intake, scanning, and digital routing of physical mail and incoming payments at the Lemnis Beaverton office, ensuring timely processing and secure handling on a recurring (weekly/biweekly) basis
  • Perform other duties as assigned to support the Legal team and the organization’s growth
  • Handle confidential and sensitive information with discretion, sound judgment, and attention to access controls
  • Qualifications & Experience

    • Experience: 4–6 years of experience in a legal administrative assistant or legal assistant role, within a corporate legal department, law firm, or fast-growing organization
    • Signature & Form Expertise: Hands-on experience administering DocuSign (or similar e-signature platforms) across high-volume contract workflows and completing administrative/vendor onboarding forms and certifications
    • Organization: Exceptional organizational skills, attention to detail, high degree of accuracy, and ability to manage multiple competing priorities and deadlines in a fast-paced setting
    • Communication: Strong written and verbal communication skills; comfortable interfacing with internal stakeholders at various levels
    • Technical Proficiency: Proficiency with electronic signature tools (e.g., DocuSign), standard office software (Google Workspace, Microsoft Office, etc.), and contract/project management systems (Smartsheet, Jira Service Management, Confluence)
    Practical project coordination skills, including the ability to maintain trackers, follow up on action items, and communicate status clearly
    Collaborative, service-oriented, proactive, and resourceful approach to supporting attorneys, paralegals, business partners, and cross-functional teams
    • Experience in an organization undergoing rapid growth, mergers and acquisitions, integration, restructuring, or significant process change is a plus

    • Associate degree or relevant certification

  • Notary Public: Current Notary Public commission or willingness to obtain certification
