We handle personal injury, elder abuse, nursing home and assisted living neglect, wrongful death, premises liability, and motor vehicle collisions. Nursing home and assisted living cases make up 65–75% of our work β€” representing surviving spouses or children whose loved ones suffered bedsores, fractures, dehydration, infections, or falls. We're a fully remote organization headquartered in Craig, Colorado β€” a solo practice with an Of Counsel arrangement for divorce and custody matters, and active Co-Counsel partnerships with 15 law firms across states. You'll be the first hire in our growth stage.


About the Role

We're looking for a remote Legal Assistant & Case Manager (Personal Injury & Elder Abuse) to become the operational backbone of a busy plaintiff-side personal injury and elder abuse litigation practice.

In this role, you'll keep cases moving from day one β€” screening leads, setting up client files, requesting and organizing medical records, bills, and liens, calendaring deadlines and follow-ups, and preparing pleadings and discovery drafts. You'll schedule depositions, mediations, and hearings, coordinate with clients, experts, court reporters, and opposing counsel, and manage the attorney's calendar across both personal injury and divorce matters. You'll also work inside a newly implemented AI-supported workflow portal for case timelines and chronologies, helping extend it as new tools come online.


Our IDEAL CANDIDATE brings 2–3 years of experience as a Legal Assistant, Case Manager, Paralegal Assistant, or in a similar Legal Support or Executive Assistant role β€” ideally with exposure to a law firm or similarly detail-heavy environment. You speak the language of a PI case β€” geriatric nurse experts, lien resolution, pre-suit vs. in-suit work β€” and can scan medical records for gaps, spot an unanswered interrogatory, and keep a discovery deadline from slipping. You're organized and proactive β€” no one reminds you twice, and if a client hasn't returned a signed contract, you're already on it. You stay calm under pressure and professional with clients and third parties. You've spent time in the big machine, tired of being a cog, and you're ready to bring your judgment to a smaller practice β€” with a real path to leading the team as it grows.

Performance Metrics: Your performance will be measured by accurate, consistent file setup; steady follow-through on records and discovery without reminders; organized case documents, liens, and expert materials; attorney-ready summaries instead of raw information; and systems that let the firm scale without chaos.

Reporting Structure: You'll work directly with our Founder, interacting closely with Co-Counsels, Paralegals from other firms, clients, medical providers, and third-party vendors. This position reports directly to the Founder.

You'll be doing things like:

  • Intake & New Lead Screening: reviewing new leads and collecting key facts β€” injuries, dates, locations, defendants, witnesses, treatment, photos, insurance, urgency; setting up potential-client files; tracking referral sources, intake status, missing information, follow-up dates; preparing intake summaries; calendaring statute-of-limitations (SOL, the legal deadline to file a case) deadlines and flagging urgent leads; sending engagement contracts or decline/referral-out letters
  • Case Setup & File Management: opening new matters in the case-management system; creating and maintaining organized Dropbox folders; saving incoming documents from email, portals, e-filing, medical providers, experts, courts, and opposing counsel; renaming files by date, provider, document type, and matter; maintaining checklists from intake through closing and archiving files after resolution
  • Medical Records, Bills & Liens: requesting and tracking medical records, bills, and imaging via a vendor; flagging missing records; organizing records by provider and date; tracking Medicare, Medicaid, and other liens (reimbursement claims against a settlement) via a vendor; obtaining ownership, licensing, and inspection history on nursing home and assisted living cases
  • Discovery & Litigation Support: preparing drafts of court filings, subpoenas, and discovery documents (the formal exchange of evidence between opposing sides in a lawsuit); tracking written questions and document requests sent to and received from the other side, flagging gaps or missing responses; organizing discovery and expert-material folders; sending and logging documents to experts; assisting with attorney-approved e-filing; supporting deposition (witness interview), mediation, hearing, and trial prep by organizing exhibits, records, timelines, and witness materials; uploading records and discovery responses to the case-timeline vendor
  • Scheduling, Calendar & Follow-Up: scheduling client meetings, expert calls, depositions, mediations, hearings, and other litigation events; maintaining Google Calendar and deadline-tracking systems; tracking follow-up with clients, opposing counsel, insurance, and vendors; managing the attorney's calendar across personal injury and divorce matters
  • Client & Third-Party Communication: sending status updates via attorney-approved templates; requesting missing treatment information, provider names, insurance details, photos, and contacts from clients; logging insurance adjuster and claim details; communicating professionally with all case parties; answering and routing calls; never giving legal advice or making legal decisions
  • Systems, SOPs & Process Improvement: writing standard operating procedures (SOPs, step-by-step guides) for recurring tasks; documenting workflows via screenshots, checklists, or training videos; improving naming conventions, folder structures, and checklists; identifying tasks for automation or delegation; supporting tool migration and testing; helping build scalable systems as the practice grows

Skills & Qualifications

  • 2–3 years of prior experience in roles like Legal Assistant, Litigation Assistant, Case Manager, Paralegal Assistant, Legal Virtual Assistant, Executive Assistant, or Executive Operations Assistant, or related β€” ideally with exposure to a law firm or similarly detail-heavy environment, and at a smaller company or solo practice where you had to build processes that didn't already exist. Attorneys looking for a change of pace are a great fit too.
  • Experience drafting or assisting with legal documents β€” pleadings, discovery requests, subpoenas, disclosures
  • Familiar with calendaring statute-of-limitations and litigation deadlines
  • Experience requesting, tracking, and organizing medical records, bills, and related documentation
  • Comfortable in legal case-management software and general office tools
  • Organized, detail-oriented, and able to follow checklists and written procedures
  • Skilled in written and phone-based communication β€” clear, professional, calm under pressure
  • Proactive with follow-up β€” spots gaps early, asks clarifying questions, and protects attorney time by organizing information before requesting review
  • Comfortable with confidential client information, working independently in a remote environment

Bonus if you also have:

  • Background in plaintiff-side personal injury (PI) litigation β€” comfortable with a PI case's life cycle from intake through settlement or trial
  • Experience with nursing home, assisted living, medical negligence, or wrongful death cases
  • Experience with multi-state discovery and litigation deadlines
  • Experience working for a solo attorney or small law firm
  • Familiarity with Colorado, Arizona, Nevada, or other state court litigation procedures
  • Experience preparing demand-package indexes, medical chronologies, provider lists, lien tracking sheets, or case-status summaries
  • Experience managing or mentoring other team members
  • Familiarity with our tools: PracticePanther (or similar case-management software), Gmail and Google Workspace, Google Calendar, Dropbox, Microsoft Word and Excel, Adobe Acrobat, court e-filing systems, medical record portals

Position Details

Working Hours: Fixed 9am–5pm MST (Mountain Time).

Employment Type: Full-time (40 hours/week), Exclusivity Preferred

Education: No formal degree required; relevant work experience in plaintiff-side personal injury or elder abuse litigation is what matters here.

Level: Upper-Junior to Lower-Intermediate (2-3 years of relevant work experience)

Compensation: ~USD $697–807 (950K–1.1M NGN) per month, based on experience. Structured as a Consultant Agreement (independent contractor), meaning you'll be responsible for your own taxes, benefits, and insurance.
