Role Overview

Job Duck is seeking a professional and client-focused Intake Specialist to serve as the first point of contact for prospective clients. In this role, you will help create a positive client experience by handling inquiries, qualifying leads, scheduling appointments, and ensuring important information is captured accurately and efficiently. Your ability to communicate clearly, stay organized, and manage multiple priorities will directly contribute to the success of the legal team and the clients they serve. This opportunity is ideal for someone who enjoys helping people, thrives in a fast-paced environment, and takes pride in delivering exceptional customer service while maintaining attention to detail.

Schedule:

Monday to Friday from 8:30 AM to 5:00 PM EST (USA)

Your Responsibilities Will Include but Are Not Limited To:

• Following up with prospective and existing clients when needed
• Managing calendars and coordinating appointments
• Scheduling consultations and meetings for the legal team
• Qualifying leads based on established criteria
• Conducting client intake and gathering relevant information accurately
• Answering incoming calls from prospective and existing clients
• Supporting administrative and client communication tasks as assigned
• Providing exceptional customer service throughout the intake process
• Maintaining accurate client records and updates within company systems
• Sending questionnaires and intake forms to clients

What We’re Looking For:

• Previous intake, customer service, client support, or administrative experience preferred
• Strong verbal and written English communication skills required
• Ability to manage time-sensitive tasks and work efficiently in a fast-paced environment
• Must be highly organized and detail-oriented
• Ability to learn new systems and processes quickly
• Software and Tools Required: 3CX; MyCase; Zoom
• Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
• Quiet, distraction-free remote work environment
