The Role The Legal Specialist, Intake is responsible for assisting with the completion and preparation of court-ordered discovery documents, including Plaintiff Fact Sheets, Plaintiff Profile Forms, Short Form Complaints, and other case-related documentation. The ideal candidate is highly organized, professional, and comfortable working directly with clients while discussing sensitive and personal information. This position requires excellent attention to detail, strong communication skills, patience, and empathy. Familiarity with reviewing and understanding medical records and medical history is also important, as the role may require identifying and accurately documenting relevant medical information for case preparation. Complete and prepare court-ordered discovery documents, including Plaintiff Fact Sheets, Plaintiff Profile Forms, Short Form Complaints, and related case documentation. Conduct detailed telephone interviews with clients to gather accurate and complete information. Spend extended periods of time on the phone with clients while maintaining patience, professionalism, and a positive attitude. Review and analyze medical records and medical documentation to identify relevant information, dates, diagnoses, treatments, procedures, providers, and other case-related details. Accurately transfer information from medical records, client interviews, and other supporting documents into appropriate legal forms and case documents. Review completed documents for accuracy, completeness, consistency, and potential discrepancies. Identify missing, inconsistent, or unclear information and follow up with clients or appropriate team members as necessary. Prepare and complete Short Form Complaints and ensure required information is accurately reflected. Follow established procedures and deadlines for completing and submitting discovery materials and other legal documents. Maintain accurate and organized case records and documentation. Handle confidential and sensitive client information with discretion and professionalism. Communicate professionally with clients, attorneys, and internal team members. Demonstrate empathy and patience when working with clients who may be dealing with stressful, emotional, or difficult circumstances. Manage multiple cases and competing priorities while consistently meeting deadlines. Take ownership of assigned tasks and follow through reliably from start to finish. And other duties as assigned. We are excited because you have... Prior experience in a legal, law firm, litigation, claims, medical-legal, or case management environment preferred. Familiarity with discovery documents, Plaintiff Fact Sheets, Plaintiff Profile Forms, Short Form Complaints, or similar legal forms strongly preferred. Familiarity with reviewing medical records and medical terminology preferred. Strong attention to detail and exceptional organizational skills. Excellent verbal and written communication skills. Comfortable conducting lengthy telephone interviews and gathering detailed information. Ability to listen carefully, ask appropriate follow-up questions, and obtain complete information from clients. Ability to review large amounts of information and identify relevant details. Professional, dependable, and consistent work ethic. Strong ability to maintain confidentiality and handle sensitive information. Compassionate and empathetic approach when communicating with clients. Ability to remain calm, patient, and professional during challenging conversations. Strong computer skills and ability to learn and navigate case management systems and other software. Ability to prioritize work, meet deadlines, and manage multiple cases simultaneously.
