Level II, Estate Administrator – Bankruptcy Location: Downtown Calgary or Remote Reports to: Manager, Bankruptcy Services The Opportunity Bromwich+Smith is looking for an experienced and detail-oriented Level II, Estate Administrator – Bankruptcy to support the administration of bankruptcy estates and help clients move successfully through the bankruptcy process. In this role, you will manage a portfolio of bankruptcy files, monitor client compliance and payments, complete key estate reviews, and ensure files are administered accurately and in accordance with legislative and regulatory requirements. You will work directly with clients, Licensed Insolvency Trustees, creditors, the Office of the Superintendent of Bankruptcy, and internal administration teams. Strong judgment, organization, communication, and problem-solving skills are important, along with the ability to support clients who may be experiencing difficult financial circumstances. This opportunity is well suited to someone who enjoys detailed case management, working within regulated processes, resolving complex file issues, and helping clients understand what comes next. What You’ll Do Administer Bankruptcy Estates Manage the day-to-day administration of assigned bankruptcy files. Ensure estate activities are completed in accordance with the Bankruptcy and Insolvency Act (BIA) , Office of the Superintendent of Bankruptcy directives, and B+S procedures. Use dashboards and insolvency software to monitor estate progress, client performance, outstanding requirements, and discharge readiness. Conduct estate reviews at key stages to confirm client compliance and identify outstanding requirements. Maintain complete, accurate, and organized estate documentation. Verify client and estate information and ensure files meet applicable privacy and regulatory requirements. Identify issues early and take appropriate action to keep files progressing. Support Clients Through the Bankruptcy Process Explain estate requirements, timelines, changes, and next steps clearly and respectfully. Monitor client payments and proactively follow up on arrears, missed payments, and non-sufficient funds. Guide clients through income-reporting requirements and surplus-income calculations. Request and follow up on missing or incomplete information. Help clients understand their responsibilities and what is required to move toward discharge. Communicate sensitive or difficult information with empathy, patience, and professionalism. Document client conversations and actions accurately. Resolve Complex Estate Matters Review files for compliance concerns, client conduct issues, asset questions, and other matters that may affect estate administration or discharge. Use sound judgment to resolve routine issues independently. Escalate complex, unresolved, or higher-risk matters to senior team members, leadership, or the Licensed Insolvency Trustee when required. Work with Trustees to discuss client cases, clarify requirements, and ensure appropriate next steps. Respond to creditor and regulatory inquiries related to estate status, client conduct, examinations, mediations, or discharge matters. Support the resolution of opposition-to-discharge issues when required. Coordinate File Administration Process and maintain client and estate information using B+S insolvency software. Prepare estate files in accordance with internal documentation standards. Work closely with Proof of Claim, Tax, FSRD, and other back-end administration specialists. Request notices, confirm asset information, and coordinate outstanding administrative requirements needed to progress or close files. Ensure important deadlines, follow-ups, and file activities are completed accurately and on time. Share information and best practices with team members to support consistent estate administration. Improve How We Work Identify recurring file issues, workflow challenges, or opportunities to improve estate administration. Share recommendations that may reduce manual work, improve accuracy, or strengthen the client experience. Contribute knowledge and best practices during team discussions. Continue developing technical knowledge of bankruptcy administration, legislation, and internal processes. Support colleagues when additional assistance is needed to keep team priorities moving. What You Bring Previous experience administering bankruptcy estates or working in a related insolvency role. Working knowledge of the Bankruptcy and Insolvency Act and Office of the Superintendent of Bankruptcy directives. Experience managing client files with multiple requirements, deadlines, and stakeholders. Strong understanding of bankruptcy administration, including client payments, income reporting, surplus income, and discharge requirements. Strong attention to detail and commitment to accurate documentation. Sound judgment and the ability to determine when an issue can be resolved independently and when escalation is required. Strong problem-solving and critical-thinking skills. Clear and professional written and verbal communication. A compassionate and respectful approach when supporting clients experiencing financial difficulty. Strong organization, time-management, and follow-up skills. The ability to manage competing priorities while maintaining file quality and compliance. Confidence using insolvency software, dashboards, and digital case-management tools. The ability to work independently while contributing to a collaborative team environment. Experience communicating with Licensed Insolvency Trustees, creditors, the Canada Revenue Agency, or the Office of the Superintendent of Bankruptcy would be considered an asset. What Success Looks Like Success in this role means bankruptcy estates are accurate, compliant, progressing appropriately, and supported by clear communication with clients and stakeholders. You will help B+S succeed by: Maintaining accurate and complete estate files. Meeting BIA, OSB, and internal requirements and deadlines. Keeping clients informed about their responsibilities and next steps. Following up proactively on payments and outstanding information. Completing meaningful estate reviews and identifying concerns early. Resolving issues wherever possible and escalating appropriately when needed. Taking accountability for errors and correcting them promptly. Working collaboratively with Trustees and administration teams. Sharing knowledge and helping strengthen team performance. Identifying better and more efficient ways to administer estates.
