RecLatam is looking for an experienced Litigation Paralegal to support a U.S. law firm handling California civil litigation matters.
This role is ideal for a highly organized, proactive professional with hands-on experience managing litigation files, court filings, service of process, deadlines, and client communication.
The ideal candidate is comfortable working independently, managing multiple active matters, and using legal technology, automation, and AI tools as part of their daily workflow.
Key Responsibilities
Case Intake & Filing
- Manage the transition of new matters from pre-litigation and verify that all required information and documents are complete.
- Enter and maintain matter information in the firm's case management system.
- Prepare, file, and track complaints, civil cover sheets, summonses, and other initial pleadings.
- Coordinate and monitor service of process on defendants.
- Track court notifications, docket numbers, judicial assignments, and Case Management Conferences.
- Prepare and file standard litigation documents, including CMC statements, notices, and settlement notices.
- Complete the initial filing and service process before transferring matters to the discovery team.
Calendar & Deadline Management
- Maintain and monitor litigation calendars across active cases.
- Research and follow court and department-specific procedures and filing requirements.
- Calendar hearings, deadlines, filing requirements, and other critical dates well in advance.
- Conduct regular calendar audits and provide proactive updates regarding upcoming deadlines.
- Monitor court notices, continuances, hearings, and Orders to Show Cause (OSC).
Client Communication
- Serve as a primary point of contact for assigned litigation clients.
- Respond to client emails, calls, and inquiries in a timely manner.
- Provide case updates and coordinate with attorneys when legal input is required.
- Facilitate communication between clients and attorneys or other members of the litigation team.
Team & Technology
- Work closely with attorneys and support staff to ensure accurate and timely completion of case tasks.
- Maintain organized, audit-ready digital case files and records.
- Use legal case management platforms and other technology to improve workflow efficiency.
- Incorporate AI and automation tools into daily processes when appropriate.
- Maintain clear communication and availability during standard U.S. business hours.
Qualifications
- Proven experience as a Litigation Paralegal, preferably supporting California civil litigation.
- Hands-on experience with court filings, service of process, docket management, and litigation deadlines.
- Strong familiarity with California civil procedure and court requirements.
- Full professional fluency in English and Spanish, both written and spoken.
- Experience with legal case management software and Microsoft Office.
- Comfortable working with AI tools and technology-driven workflows.
- Exceptional attention to detail and organizational skills.
- Ability to manage multiple active matters and competing deadlines independently.
- Strong written and verbal communication skills.
- Client-focused and professional when communicating with clients, attorneys, and external parties.
- Highly proactive, dependable, and able to take ownership of assigned matters.
