About The Role We are seeking a Manager, Financial Operations & Payments to lead the operational execution of our payments ecosystem across HPS, PayMedix, and TempoPay. This individual will own the day-to-day operational integrity of money movement, reconciliation, payment settlements, collections strategy, and financial workflows while helping modernize and scale our payments infrastructure. Today, these responsibilities are distributed across multiple teams and currently owned by our COO. As our business continues to scale nationally, we're looking for an operational leader who can bring structure, accountability, and scalable processes for our payments ecosystem. While you'll partner closely with the Finance team, this is not a traditional finance or accounting role. Instead, you'll own the operational execution of our payments ecosystem, including payment operations, settlements, reconciliation workflows, collections operations, vendor management, and payment exception management, ensuring these functions operate accurately, efficiently, and at scale. You'll collaborate cross-functionally with Finance, Product, Engineering, Customer Operations, Compliance, and external payment partners to improve operational performance, automate manual processes, strengthen operational controls, and build scalable processes that support our continued growth. This role reports directly to the COO and follows a hybrid working schedule of 2–3 days per week in our Milwaukee office. We are also open to remote candidates outside of Wisconsin. Primary Responsibilities Payments Operations Ownership: Own the operational lifecycle of payment processing across HPS, PayMedix, and TempoPay, including payment execution, settlement, returns, exceptions, reconciliation workflows, operational reporting, and money movement while improving scalability, automation, and operational controls. Collections Strategy & Operational Excellence: Establish and own the collections operations strategy across PayMedix and TempoPay, including collection workflows, customer segmentation, escalation paths, vendor management, and performance metrics. Partner closely with the BPO team responsible for executing the collections strategy to drive operational excellence. You will build scalable processes that reduce manual work, improve payment accuracy, streamline reconciliation, and support the modernization and growth of the payments ecosystem. Vendor Operations: Own day-to-day operational relationships with payment processors, banks, collections vendors, and financial service partners by defining SLAs, measuring performance, resolving operational issues, and driving continuous improvement. Reporting, Analytics & Cross-Functional Execution: Develop operational reporting and dashboards that provide visibility into payment performance, reconciliation accuracy, collections effectiveness, and operational KPIs. Partner with Product, Engineering, Finance, Compliance, Customer Operations, and executive leadership to improve payment infrastructure, launch operational initiatives, and support enterprise-wide modernization efforts. Required Qualifications 7+ years of experience in payments operations, financial operations, fintech, banking, or payments infrastructure, with deep expertise in ACH, card payments, settlement, reconciliation, ledgering, and end-to-end money movement. Proven experience owning and scaling payment operations, including reconciliation, payment exceptions, refunds, reversals, financial controls, and operational process improvements in high-volume environments. Strong cross-functional leadership with experience partnering across Finance, Product, Engineering, Compliance, Customer Operations, and external payment vendors such as BPOs, processors, sponsor banks, and gateways. Highly analytical and operationally driven, with a track record of improving payment accuracy, resolving reconciliation issues, developing KPIs and reporting, and building scalable, efficient payment operations. Key Attributes for Success Manages Complexity: Breaks down complex payment operations into scalable, efficient processes by simplifying workflows, prioritizing competing demands, and improving operational performance across the end-to-end payments lifecycle. Balances Stakeholders: Builds strong cross-functional partnerships by aligning Finance, Product, Engineering, Compliance, Customer Operations, and external partners to drive informed decisions and successful operational outcomes. Drives Results: Takes ownership of critical payment operations by delivering measurable improvements in reconciliation accuracy, operational efficiency, financial controls, and payment performance through disciplined execution and continuous improvement. Other Important Details Compensation: Base salary range: $120k - $135k, depending on experience Benefits: medical, dental, vision, HSA with company contribution, 401k/Roth with company match, 15 days of PTO, and more.
