Manager of Operations, Banking Partnerships
Company: CINC Systems, LLC
Location: Duluth, GA (Remote Role)
Job Type: Full-time
About Us
CINC Systems, LLC is the leading provider of innovative software accounting and AI solutions for the HOA Industry. We are growing rapidly and are seeking an experienced Manager of Operations, Banking Partnerships to join our team. As a key member of our partnerships team, you will be responsible for managing the projects, processes, and relationships that keep our external bank partnerships running smoothly, driving growth, improving efficiency, and mitigating risk.
Job Summary
We are seeking an experienced Banking Partnership Operations Manager whose primary focus will be project management — planning, coordinating, and driving execution across the concurrent bank integrations, conversions, and mergers that underpin our banking partnerships. You will serve as the connective tissue across Product, Development, Implementation, Support, Processing, and Finance, keeping cross-functional initiatives on track as a coordinator and facilitator, while also maintaining the partner relationships, documentation, and operational processes that support those projects.
Key Responsibilities
Project & Program Management (Primary Focus)
- Own project planning and execution for bank integration, onboarding, and conversion initiatives, including multi-phase API/SFTP builds and post-merger bank conversions
- Build and maintain project plans, timelines, and status tracking across concurrent, multi-bank initiatives (e.g., bank mergers, new partner onboarding, product rollouts)
- Serve as the primary coordination point across Product, Development, Implementation, Support, Processing, and Finance — aligning timelines, dependencies, and deliverables as a facilitator, without formal authority over contributing teams
- Lead regular project status updates and risk/issue tracking for internal stakeholders and leadership
- Translate real-world operational and bank constraints into clear requirements for Product and Engineering roadmap planning
Partner Relationship Management
- Develop and maintain strong relationships with banking partners responsible for onboarding new customers and bank change requests, including regular communication and issue resolution
- Act as a primary point of contact for partner banks on integration requirements, project timelines, and status
- Provide hands-on, white-glove support to management companies and partner banks during active conversions and mergers
Operational Risk, Compliance & Process Improvement
- Identify and mitigate operational risks tied to banking partnership projects, ensuring compliance with regulatory requirements and internal policies
- Analyze and optimize operational processes, implementing efficiencies and cost savings where possible
- Track key project and partnership KPIs through dashboards to support internal quarterly reviews
Documentation & Knowledge Management
- Maintain accurate, up-to-date project and integration documentation (e.g., Confluence pages, bank-integration status grids, playbooks) as the team's source of truth
- Provide training and knowledge-sharing to internal stakeholders on banking partnership operations, processes, and best practices
Escalation & Cross-Functional Support
- Triage and coordinate resolution of integration issues, missing files, and other operational escalations, routing them to the appropriate technical or support owner
- Coordinate with Sales, Marketing, and Implementation to ensure alignment, processes, and internal reporting needs are effectively communicated and documented
Special Projects
- Lead or participate in special projects, including process improvement initiatives, technology implementations, and regulatory compliance projects
Requirements
- 5+ years of experience in banking or financial services, with a focus on project management, operations, or partnership management
- Demonstrated experience managing multiple concurrent projects or initiatives with competing timelines and stakeholders
- Strong understanding of banking operations, including account management, transaction processing, and risk management
- Excellent communication and interpersonal skills, with the ability to drive alignment and hold cross-functional teams accountable to timelines without formal authority
- Proven analytical and problem-solving skills, with the ability to identify and mitigate operational risks
- Strong organizational and time management skills, with the ability to prioritize multiple complex, concurrent initiatives and deadlines
- PMP or other project management certification a plus, but not required
