While processes like IDR (Independent Dispute Resolution) were designed to promote fairness, they’re often administrative-heavy, time-consuming, and difficult to navigate without the right tools. Pivotal Health combines software, data, and service into a seamlessly integrated, AI-driven platform that simplifies these complex reimbursement workflows. We help providers efficiently dispute underpaid claims, reduce administrative burden, and recover the reimbursement they’re entitled to; without adding more work to already stretched teams. Our full-service IDR solution is just the starting point. We’re building solutions that enable providers to operate with clarity, control, and confidence across the reimbursement journey. Manager, Workplace & Employee Experience About the Role Pivotal Health is looking for a Manager, Workplace and Employee Experience to own and shape how our physical space and day-to-day operations support our people and our culture. This is a hands-on, high-visibility role for someone who believes that a well-run office is a competitive advantage, not an afterthought. We're in a period of significant team growth and development, including an upcoming office move, and we need someone who can bring order to ambiguity, build programs that scale with us, and make our space feel like us – not just a place we happen to work. This role is based in-person five days per week in Williamsburg, Brooklyn. General working hours are 8:30am to 5:30pm, with some evening work to accommodate events and other programming. What You'll Do Independently own the day-to-day operations of our office, from facilities and vendor management to supplies, mail, security, and everything in between – no task is too small. This includes keeping shared spaces (e.g. kitchen, conference rooms) organized and clean. Support our office move (or step into a newly moved space) and turn it into a place that feels intentional, welcoming, and like us. Design and run in-person and virtual employee programs that are built to scale as the company grows, not just work for today's headcount. Translate culture into space. Think deliberately about how our physical environment reflects who we are, and how the space itself shapes behavior, collaboration, and morale. Champion accessibility and equity in every decision – from seating and ergonomics to event planning and program design – ensuring the office works for everyone. Make hard calls well. Balance what's best for the business against what any one individual or team might want, and be willing to make and explain the tough trade-off when it's the right one. Be the go-to person for the dozens of questions that come up every week in a fast-changing company, and build systems (FAQs, Slack channels, Notion pages) so you're not answering the same one twice. Manage budgets and vendor relationships for facilities, food/beverage, events, and office services, always looking for ways to improve experience without overspending. Partner cross-functionally with People, IT, Finance, and leadership to ensure the office and its programs support broader company goals. What You Bring 5+ years of experience managing an office and/or employee experience function, ideally at a high-growth company with a lot of change and ambiguity. A proven track record of building programs that scale. You can point to something you built that worked at 50 people and still worked (or was rebuilt intentionally) at 200. Experience with an office move, or genuine excitement about taking a blank or newly-moved-into space and making it feel like home. Excellent judgment under ambiguity. You can prioritize effectively, communicate trade-offs clearly, and don't need a perfect brief to get moving. A service mindset with no ego about task size. You’re equally comfortable negotiating a vendor contract and restocking the snack shelf. Strong communication skills. You'll be fielding a high volume of questions from people at every level and need to do it with patience, clarity, and warmth. An eye for detail and design. You understand that small things (signage, lighting, seating, quiet spaces) add up to how people experience a room. Nice to Haves Experience in a healthcare, health tech, or regulated industry. Familiarity with accessibility standards (ADA or equivalent) as they apply to office design. Experience working with contractors/vendors on a recurring basis.
