Every new role created and every person appointed at Macquarie University begins with the work of the Positions and Appointments Team. As Manager, Positions and Appointments, you will lead the service that makes position establishment, appointments and onboarding accurate, timely and easy to navigate for staff and leaders across the Macquarie University Group.


You will join a HR Shared Services function that values end-to-end thinking and continuous improvement, working alongside stakeholders across a diverse and complex university group. It is an opportunity to bring service design, systems know-how and team leadership together in one role, with real scope to shape how things are done.


This is a role for someone who enjoys the full picture: the people, the process and the technology. You will guide a capable team, refine the way services are designed and delivered, and make sure the data and systems underpinning them are reliable. Your work will be visible in dashboards that inform planning, in processes that remove friction, and in the excellent customer service experienced by each new starter.


About the Role


Reporting to the Head of HR Shared Services, you will be accountable for the delivery and continuous improvement of position establishment and appointment services. Your responsibilities will include:


  • Lead the delivery and continuous improvement of position establishment and appointment services, working with key stakeholders to provide efficient, effective support and a positive staff experience
  • Build and manage an effective team, including work allocation, capability development and performance management, to maintain high levels of engagement and motivation
  • Provide operational oversight of HR services relating to position establishment and employee appointments, escalating issues and risks to inform decision-making and planning
  • Plan and manage the use of agreed processes, standards, methods and tools to underpin efficiency, effectiveness, reliability and consistency of service delivery and performance
  • Maintain high data quality and optimising data to improve client visibility and decision-making through reports and dashboards
  • Manage and optimise the technology solutions that enable service delivery, including requirement definition and testing of changes and upgrades
  • Develop long-term customer relationships and maintain a clear understanding of customer needs, balancing competing internal and external stakeholder demands to deliver operational excellence and a high level of customer satisfaction
  • Lead ongoing analysis and review of HR services and processes to identify opportunities for value optimisation, improvement and enhancement, informed by customer data and service performance metrics
  • Develop service performance standards and reporting against performance metrics aligned with business and HR objectives, while fostering a work environment with a culture of accountability

The Positions and Appointments team sits at the heart of this, enabling the establishment of roles and the appointment of people who make our teaching, research and professional services possible.


About You


You are an experienced HR operations or HR shared services professional who understands process and systems as well as people. You are comfortable owning a service end to end from how a process is designed, to how it is configured in the technology, to how it is tested, measured and improved. You bring clarity to complexity, and you enjoy building teams that take pride in getting the detail right.


Selection Criteria

  • Demonstrated experience leading and developing a team delivering HR operations, shared services or transactional HR services in a complex organisation
  • Proven experience in position establishment, appointments, onboarding or related employee lifecycle services, including operational oversight and risk escalation
  • Technical competency with HRIS or workflow technology (Workday or equivalent), including requirement definition, configuration input, testing of changes and upgrades
  • Demonstrated capability in process and systems design, with a track record of end-to-end service improvement informed by data and performance metrics
  • Experience establishing service performance standards, reporting against metrics, and maintaining high standards of data quality to enable reporting and dashboards
  • Well-developed stakeholder engagement skills, with the ability to manage expectations and competing priorities across internal and external customers
  • Sound working knowledge of relevant employment frameworks, EEO and WHS obligations, and their practical application in HR service delivery
