Description

PromptCare is seeking an experienced Manager, RCM Projects to lead revenue cycle recovery initiatives and special projects focused on reducing accounts receivable (A/R), preventing uncollectible rental billing, resolving CMN and PAR documentation gaps, and recovering revenue through denial and write-off analysis. This role manages projects from initial planning through completion, ensuring work is prioritized based on financial impact, assigned appropriately, and completed efficiently without duplication of effort.

The Manager will also oversee designated contracted vendor teams performing revenue cycle activities in Brightree and collaborate closely with Billing, Collections, Cash Applications, Reimbursement, Patient Access, Intake, Resupply, Confirmation, Brightree System Configuration, and Field Operations teams to improve processes, resolve outstanding issues, and maximize revenue recovery.

Job Type: Full-time, Exempt

Job Location: Remote (Must be available to report to a PromptCare office as needed)

Requirements
  • 3+ years of experience in revenue cycle management, medical billing and collections, or accounts receivable follow-up, preferably in a DME/HME or healthcare setting, including experience leading projects, teams, or outsourced resources.
  • Hands-on experience with Brightree or a comparable healthcare billing and revenue cycle platform.
  • Solid understanding of revenue cycle functions, including rental billing, claims processing, CMN and prior authorization requirements, denials, cash posting, A/R aging, and collections.
  • A track record of running multi-stakeholder projects to measurable financial outcomes.
  • Experience coordinating or managing outsourced or offshore vendor teams.
  • Strong analytical skills, with the ability to work through large worklists and data sets, set priorities, and translate findings into action.
  • Advanced proficiency in Microsoft Excel (pivot tables, lookups, reporting) and the Microsoft Office Suite.
  • Excellent verbal and written communication skills for cross-functional and vendor-facing coordination.
  • Ability to manage multiple projects and competing priorities in a fast-paced environment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, Finance, or a related field.
  • Experience in DME/HME rental billing and reimbursement, particularly respiratory equipment.
  • Experience with Snowflake, SQL, or other business intelligence and reporting platforms.
  • Experience working with robotic process automation (bots) or workflow automation in a revenue cycle setting.
  • Familiarity with payer-specific billing and collection requirements for Medicare, Medicaid, and commercial payers.
  • Experience developing vendor scorecards, SLAs, or performance improvement plans.
  • Lean, Six Sigma, PMP, or other process improvement or project management training.

Job Responsibilities, included but not limited to:

  • Recovery Project Leadership
  • Scope, plan, and run worklist-driven cleanup projects across rental stops, Held A/R, bulk CMN and PAR recovery, denials, unbilled revenue, cash posting, and payer changes, from initial analysis through closure.
  • Prioritize work by dollar impact and recoverability, such as authorizations that would release a stopped rental to bill, retro-eligible PARs that would release Held A/R, and orders at risk of going on stop.
  • Ensure active rentals are not generating uncollectible A/R into Held, and that open work is routed to the team best positioned to resolve it.
  • Define success measures for each project (dollars released, A/R reduced, accounts resolved, write-offs avoided) and report progress and results to revenue cycle leadership on a regular cadence.
  • Convert project findings into SOPs, recurring processes, system configuration actions to remediate root causes, and clean handoffs to functional owners so that gains are sustained after a project closes.
  • Vendor & Resource Coordination
  • Serve as the primary point of contact for contracted vendors and Brightree service teams performing billing, collections, cash posting, denial management, Held A/R resolution, or data cleanup work in Brightree.
  • Assign and hand off work queues among internal staff, vendor teams, and automation to prevent duplication of effort and ensure full coverage of the inventory.
  • Monitor vendor productivity and quality against contracted service level agreements (SLAs); audit vendor work in Brightree for accuracy and compliance; and investigate discrepancies between vendor-reported production and Brightree system-of-record data.
  • Lead regular performance reviews with vendor partners covering trends, root causes of underperformance, and corrective action plans.
  • Support vendor onboarding, including Brightree access provisioning, workflow training, and quality and productivity expectations; coordinate with IT on user access, security permissions, and HIPAA requirements.
  • Recommend shifts in work allocation among internal staff, vendor partners, and automation based on capacity, inventory aging, and recovery priorities.

Automation, Data & Reporting

  • Partner with IT and automation teams to define, test, and monitor bots and automated workflows used for bulk cleanup, such as CMN and PAR linking and updates.
  • Build and maintain project trackers, worklists, and dashboards using Brightree, Snowflake, or other reporting tools, giving leadership early visibility into progress and emerging issues.
  • Analyze Held, stop, denial, and write-off data to identify root causes and new bulk-resolution opportunities.

Cross-Functional Partnership

  • Work with Billing, Collections, Cash Applications, Reimbursement, Intake, Resupply, Confirmations, Customer Service, Purchasing, and Field Operations to remove the upstream causes of Held A/R, stops, and denials.
  • Coordinate with Operations and equipment recovery teams so that cleanup projects align with ongoing rental stop and asset recovery processes.
  • Communicate Brightree workflow changes, payer requirements, and policy updates to vendor partners and project teams in a timely and accurate way.
  • Maintain accurate documentation of project charters, SOPs, vendor agreements, scorecards, SLAs, and performance review outcomes.
  • Ensure compliance with company policies, healthcare regulations, and applicable industry standards.
