The Opportunity: The Marketing and Proposal Specialist is responsible for providing administrative support to the Proposal Manager and management team. This role is responsible for the firm’s marketing, branding, and advertising efforts, events, and outreach initiatives, under the guidance and general supervision of the Proposal Manager. In addition, this role will support the Proposal Manager with duties involving the proposal lifecycle, including capture, bid, proposal management, and submission, follow-on requirements from federal clients, and award or loss/debrief. This role will work closely with the Proposal Manager and all levels of management across the organization, as well as vendors. The following are representative, but not all-inclusive, of the knowledge, skills, and abilities required to perform in this role. Roles and Responsibilities: Marketing Executes and manages marketing and communication initiatives, including website content updates, intranet postings, website content, social media content, including video, and digital campaigns. Ensures brand uniformity through creating and maintaining branding material for New Employee Packets, Company Information Recruitment Packets, and internal employee events while coordinating the designs, marketing, branding, and advertising for events to include ideas based on theme, creative design for ads and social media postings. Updates, tracks, monitors, and executes existing Marketing Plan. Proposal Support: Assists the Proposal Manager throughout the proposal process to include corresponding with agencies, development of content, creating and maintaining compliance matrix, proofreading, and production and submission per solicitation specifications. With the guidance of the Proposal Manager, develops proposals around marketing strategies including value proposition, capability visuals, and other enhanced graphics. Conducts final review of proposals to address all compliance deficiencies, gaps, spelling, grammar, formatting, consistency, and general word processing edits. Uses SharePoint and MS Office Suite (Word, Excel, and PowerPoint) to create, format, document, and maintain capability statements, bid/no-bid log, proposal tracking log, compliance matrices, resumes, past performances, and proposal documents. Assists as needed to coordinate electronic submission of questions and/or proposal package, per solicitation instructions. Business Development (BD): Conducts daily search of online platforms for potential contract opportunities. Assists with the coordination for practice and industry events which include two (2) national conferences that require travel, and two (2) local conferences. Assists in maintaining the BD shared documents repository, including target agencies, core service offerings, agency forecasts, identified opportunities, and other data gathered. Uses tools such as GovWin or GovTribe for capture, BD, and proposal research. Develops and conducts training for staff on capture tools, whitepapers, capability statements, blogs, use of social media, and Section 508 compliance. General Operations: As requested by practice leaders, responsible for ensuring Section 508 compliance (certification required). Reviews content for executive consumption and firmwide distribution, contributing to the firm’s professional image. Required Education: Bachelor’s Degree in Marketing, English, Journalism, Business Communication, or related field preferred. Required Experience: Minimum of 2-4 years of professional experience. Passionate about and highly skilled at writing, proofreading, and communication. Experience with creating content for social media or other publications required. Independent worker with strong organizational and multi-tasking skills required. Familiarity with Facebook, X, LinkedIn, and Instagram for Business Pages. Graphics and branding experience required. Advanced knowledge of Microsoft Office 365 (including SharePoint, Microsoft Teams, Excel, PowerPoint, etc.) and word processing required. Must be able and willing to work long hours (possible weekends) with limited notice to complete proposals in accordance with current or prospective client deadlines. Desktop Publishing (Adobe Illustrator) skills are a plus. Ability to learn technical systems quickly and efficiently. Knowledge of government contracting required (minimum of 1 year of experience), with experience responding to federal procurements. Preferred Qualifications: APMP or Marketing Certification desired. Section 508 Certification desired or must be obtained after hire. Experience using Microsoft Copilot or other AI productivity tools. Must be able to multi-task and work well under tight deadlines. Knowledge of Canva and Squarespace, a plus. Must have excellent attention to detail, a pragmatic approach, and a spark of creativity. Ability to interact with all levels of personnel. Must be skilled in Adobe Illustrator and/or PhotoShop. Environment: Virtual office setting requiring extensive computer usage, time management, and professional communication. Salary Salary at Williams Adley is determined by various factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, experience, contract-specific affordability, and organizational requirements. The projected compensation range for this position is between $65,000 and $75,000 based on experience, skills, and certifications. The estimate displayed represents the typical salary range for this position and is just one component of Williams Adley’s total compensation package for employees. Work Model Williams Adley follows a remote-first model. Most employees work remotely the majority of the time. However, certain client engagements may require on-site work—either part-time or full-time—depending on contract requirements.
