Location: Hybrid – Aylesbury, Buckinghamshire
In-office expectation: Approximately 2 days per week in our Aylesbury office, with occasional travel to events and conferences
Contract: 12-Month Fixed-Term Contract
Salary: Circa £30,000 per annum
Role Overview:
We're looking for an organised, proactive and detail-focused Marketing Assistant to join our Marketing team on a 12-month fixed-term contract.
This is a varied role where you'll play an important part in keeping our Marketing team running smoothly, providing essential administrative and logistical support across day-to-day activities, events and conferences.
You'll be responsible for coordinating purchase orders and invoices, maintaining accurate records, arranging travel and deliveries, and supporting the organisation of marketing events. You'll also help manage our marketing stock and support the creation and organisation of a new media room at our Aylesbury office.
Working closely with colleagues across the business, suppliers and external contacts, you'll help ensure everything is well organised, accurate and delivered on time.
This is a great opportunity for someone who enjoys variety, takes pride in getting the details right and thrives in a busy, collaborative environment.
As our Marketing Assistant, you will:
- Create and manage purchase orders, process invoices and maintain accurate records of marketing spend.
- Work closely with Finance, suppliers and the Marketing team to resolve invoice and payment queries.
- Maintain organised files, records and shared folders, ensuring information is accurate and accessible.
- Coordinate travel and accommodation arrangements for colleagues, speakers and event attendees.
- Provide administrative and logistical support for marketing events and Esri UK conferences.
- Arrange couriers, deliveries and collections, ensuring materials arrive at the right place and time.
- Order, organise and manage merchandise, event materials and marketing supplies, maintaining accurate stock records.
- Prepare and organise event materials, badges, equipment and delegate information.
- Run established CRM reports and update records in line with agreed processes and data quality requirements.
- Use Excel to organise, check and report financial, stock, travel and event information.
- Provide general administrative and coordination support to the wider Marketing team.
This would be a great career move if you:
- Have at least two years' experience in an administration, team support or coordination role within a busy organisation.
- Have experience creating purchase orders, processing invoices and maintaining accurate financial records.
- Are confident using Excel, including formulas, filters, lookups and organising data.
- Have excellent organisational skills and attention to detail.
- Can confidently manage multiple tasks, priorities and deadlines with limited supervision.
- Are comfortable arranging travel, deliveries, collections or other logistics.
- Are confident using digital systems and quick to learn new tools.
- Take a practical, proactive approach to problem-solving and enjoy keeping things running smoothly.
You should also be comfortable occasionally travelling to events or conferences, which may involve early starts, evening work or overnight stays, and helping organise and move event materials.
