Our Mission:

MDpanel is one of the largest providers of expert medical opinions in the United States. We are committed to being the most coveted partner for physicians, carriers, attorneys, and patients by connecting those in need of medical opinions with the most qualified and highly regarded medical professionals in the U.S. MDpanel allows our member healthcare professional partners to maximize their time and produce unparalleled revenue opportunities. In return, our carrier and attorney clients receive timely, complete, thorough, and easy-to-understand opinions to support the medical legal inquiry.

MDpanel is revolutionizing the medical opinion space by creating the first true marketplace to connect those in need of medical opinions to those capable of providing them. Unlike traditional, services-based models, we are devoted to our healthcare professionals and are relentless about removing the burden of administration, securing exam volume, preparing for and supporting physical examinations, backend processing, report submissions, and billing. At the heart of MDpanel, our team is committed to delivering an unparalleled experience for all stakeholders. We think big, start small, and move fast. Our culture is built on supporting each other with accountability, transparency, and passion for our mission.

Position Summary:

The Marketing & Events Coordinator runs MDpanel's event program and makes sure each event stays on budget and generates pipeline. The role owns 10-12 national and supports up to 35-40 regional events a year (national and regional industry conferences, sponsorships, and MDpanel-hosted activities) from planning through post-event follow-up, along with the collateral, promotion, and social content that support them.

It is MDpanel's primary point of contact with conference organizers and event vendors, and the owner of event lead data from badge scan to Salesforce, so leads reach Sales quickly and can be traced back to the event that produced them.

This role is a strong fit for a highly organized marketing generalist who likes structure and can manage 5 to 10 events and projects at once without missing deadlines.

Essential Duties and Responsibilities:

Event planning and logistics

Plan and run each event against a standard timeline and checklist. Manage registrations, booth and sponsorship deliverables, hotel and travel bookings for staff, shipping of booth assets and promotional items, and on-site setup and teardown. Maintain the master event calendar so stakeholders always know what's coming up and what's due. Support webinars and virtual events as needed.

Sales partnership

Work with national and regional sales leaders to build the internal case for event resourcing (expected audience, cost, staffing, and goals). Deliver pre-event briefings on attendees, target accounts, and logistics, and post-event recaps on results and follow-up.

Organizer and vendor management

Serve as MDpanel's point of contact with conference organizers, venues, and vendors. Negotiate sponsorship packages and marketing add-ons (speaking slots, attendee lists, sponsored sessions) within approved budget, track contract deadlines, and process invoices. Maintain an inventory of booth assets and promotional items.

Lead capture, enrichment, and CRM data quality

Set up lead capture before each event (badge scanners, registration lists, or forms), then consolidate everything into a single clean dataset. Enrich records with accurate company, title, and contact details, map fields, and import into Salesforce with campaign attribution, flagging duplicates and data issues. Coordinate the lead handoff with Demand Gen and Sales so leads are routed and followed up on promptly.

Event budget and ROI reporting

Track spend for each event against its approved budget, reconcile invoices, and flag variances early. After each event, report on leads captured, meetings held, cost per lead, and pipeline influenced, and keep a year-over-year view that informs which events MDpanel returns to.

Event promotion, content, and social media

Drive pre-event promotion and post-event follow-up through email and social channels. Draft copy for emails and social posts, maintain the content and social posting calendars, and support production of event collateral in Canva and Adobe Creative Cloud. Capture photos and content on site for post-event marketing.

Communication and process

Communicate status, risks, and changing priorities proactively with internal teams and external partners. Keep project tracking current and document repeatable processes (event checklists, lead import standards).

Qualifications and Preferred Skills:

  • One to three years of experience in event, marketing, or project coordination, ideally in a B2B setting.
  • Hands-on experience with trade show or conference logistics (registration, booth, shipping, and vendors).
  • Comfort managing 5 to 10 concurrent events and projects with competing deadlines.
  • Strong attention to detail with lead and contact data, including cleanup, deduplication, and CRM import.
  • Clear, concise written and verbal communication, including writing marketing and social copy.
  • Ability to work independently with limited direction and adapt to shifting priorities.
  • Working knowledge of, or willingness to quickly learn, Salesforce, Customer.io, ClickUp, Canva, and Adobe Creative Cloud.
  • Ability to travel to events, including occasional early mornings, evenings, and weekends.

Nice to have:

  • Experience marketing to healthcare, insurance, claims, legal, or workers' compensation audiences.
  • Experience with lead capture and enrichment tools (badge scanning apps, ZoomInfo, Apollo, or similar).
  • Experience tracking event budgets and reporting on cost per lead or event ROI.
  • Experience supporting webinars or virtual events.
  • A degree in marketing, communications, event management, or a related field, or equivalent work experience.
  • CMP (Certified Meeting Professional) or CAPM certification, or progress toward one.

Work Setting:

Remote, home-office based. At events, work takes place in conference centers, exhibit halls, and hotels, which can be busy and noisy, with long days on site.

Travel to conferences and events is required, estimated at 15% to 25% of the time with peaks during conference season.

Additional Information:

The salary range for this position is provided as an estimate based on current market conditions and company benchmarks. Actual compensation may vary depending on factors such as experience, qualifications, skills, location, and internal equity. Please note that we are unable to provide sponsorship assistance currently. All applicants must have a valid work authorization for the country in which they are applying.
