About the Role
Are you an exceptionally organized Executive Assistant who thrives in fast-paced US startup environments—and happens to know Salesforce inside and out?
We are looking for a high-leverage Executive Assistant & Marketing Operations Specialist to serve as the right hand to our VP of Marketing. This is not a traditional administrative job, nor is it a dry data-analyst role. It is a strategic hybrid position for a proactive operator who can seamlessly blend executive support, high-touch communication, and hands-on Salesforce management.
You will act as both an administrative force multiplier for leadership and the operational backbone of our Marketing team. If you excel at clear English communication, navigating US business culture, keeping executives organized, and building Salesforce reports that turn raw lead data into actionable marketing insights, this role is built for you.
Key Responsibilities
Executive Support & Right-Hand Operations
- Calendar & Focus Management: Proactively manage the VP of Marketing’s calendar, prioritize daily agendas, guard executive focus time, and coordinate complex schedules across time zones.
- Executive Communication: Draft, edit, and review executive communications, meeting summaries, and cross-functional updates with polished, native-level English fluency.
- Inbox & Administrative Logistics: Support inbox triage, meeting logistics, travel arrangements, and ad-hoc operational initiatives as needed.
- Cross-Functional Coordination: Serve as a reliable liaison between the VP of Marketing, Sales, Revenue Operations, and Business Development teams to keep projects moving forward.
Salesforce & Marketing Operations
- Salesforce Reporting & Dashboards: Hands-on creation and maintenance of custom Salesforce reports and dashboards to track marketing pipeline health, lead conversions, campaign ROI, and attribution.
- CRM & Data Governance: Continuously monitor and clean CRM data quality, standardize fields, and ensure Salesforce remains the single source of truth for marketing performance.
- Process & Workflow Optimization: Help design and document scalable marketing workflows—from lead capture to sales handoffs—ensuring seamless execution across the team.
- Tech Stack Administration: Support the integration and health of our GTM stack (Salesforce, HubSpot, Apollo, ZoomInfo, LinkedIn Sales Navigator).
- AI & Automation: Leverage modern AI tools (e.g., Claude) and standard workflows to streamline executive tasks and marketing reporting.
Qualifications
- Required Salesforce Experience: Hands-on ability to build custom Salesforce reports, dashboards, and manage lead/campaign objects. (Marketing ops depth without Salesforce will not be a fit).
- Direct US Startup Experience: Proven track record working directly with US-based executives, displaying a deep understanding of US startup culture, urgency, and workplace dynamics.
- Flawless Communication: Exceptional written and verbal English communication skills—able to interface confidently with senior executives and external partners.
- Executive Support Background: 3+ years in an EA, Operations Associate, or Chief of Staff-adjacent role supporting executive leadership.
- Analytical & Detail-Obsessed: Comfortable working in Google Sheets/Excel, organizing messy data, and spotting trends to help leadership make data-driven decisions.
- Tech-Savvy: Fast learner with modern cloud tools and automation (Notion, Slack, Google Workspace, Claude AI).
- Must be located in Mega Manila Area.
Preferred Qualifications
- Salesforce Administrator certification or formal CRM training.
- Prior experience in SaaS, B2B tech, e-commerce, or ERP software.
- Familiarity with GTM platforms (HubSpot, Apollo, ZoomInfo).
