We are building a modern, AI-enabled marketing function for a construction and infrastructure group and its family of brands. This role is the operational engine underneath it.
You take the marketing plan and make it real - breaking it into deliverables, owners and deadlines, coordinating the project teams, suppliers and approvals needed to get work over the line, producing and polishing the content itself, and keeping documents, assets and trackers in an order that people can rely on.
The defining requirement is organisation. When a project warrants a case study, that means coordinating site visits, photography, project data, time with the project manager, a draft, client approval and publication. You own that entire chain without being asked where it is up to. You are comfortable chasing people professionally and persistently, and you close loops.
This is not an administrative role, and it is not primarily a design role. It is a marketing operations and execution role for someone who creates order rather than waiting for it, improves the processes they inherit, and uses AI deliberately.

What You'll Own
- The marketing activity tracker - the single, current view of what is planned, in progress, blocked, awaiting approval and complete.
- The request-to-publish workflow - from intake and briefing through drafting, review, approval, publication and filing.
- The project marketing pipeline - which projects are worth marketing, what each one needs, and what stage it is at.
- Content production - case studies, capability statements, project profiles, web and social copy, presentations and proposal collateral.
- The document and asset environment - one reliable source of truth for every brand's content, templates and creative assets.
- Stakeholder follow-up - the information, photos, approvals and decisions marketing needs from people who have other priorities.
- Process improvement and AI productivity - faster, cleaner, more repeatable ways of running recurring marketing work.
- Brand-consistent execution - basic collateral produced in-house, and specialist design briefed out and reviewed.
Marketing operations & project coordination (approx. 45%)
- Maintain the marketing activity tracker so anyone can see, at any time, what is happening and what is stuck.
- Translate the marketing plan into scheduled deliverables with clear owners, dependencies and deadlines - and keep that schedule honest as priorities move.
- Prioritise competing requests against business priorities and set realistic expectations with requesters against published lead times.
- Run the request-to-publish workflow end to end: intake, briefing, drafting, review, approval, publication and filing.
- Coordinate multiple marketing activities at once without losing track of any of them.
- Chase outstanding inputs - project details, photos, quotes, dates, sign-offs - from project managers, operations, business development, leadership and, where appropriate, clients. Professionally, persistently, and until you have them.
- Brief and manage external suppliers: designers, photographers, videographers, printers, web developers and other marketing partners.
- Escalate genuine blockers early, with the context and options needed for a decision - rather than letting a deadline slip quietly.
- Close the loop on completed work: publish it, file it, tell the people who need to know, and update the tracker.
- Produce and coordinate case studies, project profiles, capability statements, company profiles, website and social content, brochures, presentations, and proposal and tender collateral.
- Turn rough source material - site notes, project data, interviews, project manager input, AI first drafts — into clear, accurate, on-brand content.
- Debrief project managers and technical staff to extract the detail that makes a case study credible: scope, constraints, methods, numbers, outcomes.
- Fact-check everything that goes out: names, dates, values, scope, client references and technical claims. In this sector, accuracy carries more weight than polish.
- Keep tone, terminology and brand voice consistent across brands.
- Maintain the rolling content calendar, and schedule and publish through the website CMS and social channels.
- Repurpose deliberately - one completed project should yield a case study, a capability entry, several social posts, tender content and a website update.
- Maintain the project marketing pipeline: which projects are suitable for marketing, what assets each needs, and where each one sits.
- Work with project teams and project management systems to spot milestones and completions that should trigger marketing activity - rather than hearing about a finished project six months late.
- Collect project information and documentation: scope, value, dates, client details, technical detail and any photography already taken on site.
- Organise photography and videography: brief the supplier, agree shot lists and content requirements, and confirm what a successful capture looks like before anyone travels.
- Coordinate site visits end to end - access, inductions, PPE and safety requirements, timing around live site activity, and the people who need to be present.
- Track outstanding assets and follow them up until they arrive.
- Organise raw footage and photos so they are labelled, stored consistently and still findable a year later.
- Coordinate post-production and editing, and secure internal and client approvals before anything is published.
- Own the structure of the marketing document environment - folder architecture, naming conventions and version control - so there is one reliable source of truth.
- Maintain the content library and brand asset library: case studies, capability statements, presentations, brochures, templates, logos, graphics, photos, video and approved project information.
- Actively retire outdated collateral so old versions stop circulating.
- Notice the underlying problem, not just the symptom - duplicated files, unclear versions, inconsistent folders, missing information, assets nobody can find - and fix the cause.
- Keep templates current, accessible and easy for non-specialists to use correctly.
- Administer marketing spaces in SharePoint, OneDrive and Microsoft 365, including sensible access and permissions.
Process improvement
- Follow the processes that work, understand why they exist, then improve them and standardise the improvement. We are not looking for someone who only executes what already exists.
- Map recurring workflows and find the bottlenecks: unnecessary manual steps, duplicated effort, slow approvals, weak handovers between project teams and marketing.
- Simplify approval paths and improve how information is collected the first time, so work is not held up waiting for a detail that should have been captured at the start.
- Write and maintain SOPs with the help of Marketing Manager so recurring marketing activity is repeatable rather than reinvented.
- Shorten turnaround times and reduce marketing time-to-market.
- Introduce light automation where it genuinely removes work, and document it so it survives you being on leave.
- Use AI as a daily working tool: research, drafting, summarising, rewriting, extracting information from long documents, meeting and action summaries, first drafts of case studies and capability documents, content repurposing, process documentation and SOPs, organising data, and checking your own work.
- Give AI clean, well-structured inputs - the quality of what comes out depends on what you put in and how you brief it.
- Apply human judgement to everything it produces: verify facts, cut generic phrasing, correct tone, and make sure it reads as a person wrote it.
- Treat AI as a productivity tool, not a substitute for quality control. Nothing is published simply because a model wrote it - you remain accountable for accuracy and quality.
- Stay curious about new tools, and share what works so productivity gains reach the whole team rather than sitting with you.
- Work confidently within brand guidelines using Canva, PowerPoint and Word templates.
- Make competent edits to existing collateral and produce straightforward materials in-house: presentations, one-pagers, project profiles, social graphics and updates to existing brochures.
- Write clear design briefs and manage external designers to deadline - a good brief is worth more here than doing it yourself.
- Review outgoing collateral against brand guidelines before it is issued.
- Coordinate photo and video editing and organise creative assets so they are reusable.
- Use AI visual tools where they help, with a sensible eye for whether the output is genuinely on brand.
- Pull website, social and campaign analytics for monthly reporting, and maintain the inputs behind reporting dashboards.
- Provide a short, plain-language read on what the numbers mean - not just the numbers.
- Track marketing activity against plan so the Marketing Manager can see delivery at a glance.
- Support events, internal communications and business development requests, with clear ownership and deadlines rather than open-ended involvement.
Essential
- 3+ years in marketing coordination, marketing operations, content or project coordination - ideally where you were the person things ran through.
- Demonstrable organisation: trackers you built and maintained, deadlines you held, processes you ran. Be ready to show us how you keep work visible.
- Strong written English - you can produce professional, accurate copy and edit other people's work.
- Comfort working in structured digital systems, and the ability to learn new ones quickly.
- Genuine, habitual AI use. We are interested in how you use these tools in practice, not whether you have opened ChatGPT.
- Confidence chasing busy people for information and approvals without becoming either apologetic or abrasive.
- Working knowledge of Canva, Adobe Creative Suite, Figma, and PowerPoint, and the ability to work within brand guidelines.
- Sound judgement on accuracy and confidentiality - you recognise when project information is commercially sensitive or needs client approval before use.
- Proactive, self-directed communication suited to remote and asynchronous work across time zones.
- Procore experience. You do not need to be a Procore administrator or a project manager, but knowing how to navigate a project management system - find project information, follow milestones, identify completed work and coordinate with project teams - will put you well ahead.
- Experience in construction, infrastructure, engineering or professional services.
- Building or documenting processes and SOPs.
- No-code automation (Power Automate, Zapier, Make).
- Website CMS and social scheduling experience.
- Coordinating photography or video shoots, including on operational sites.
- Core: Microsoft 365 (Word, Excel, PowerPoint, Planner) and SharePoint.
- Coordination: a project management or workflow platform - Procore highly desirable.
- Publishing: website CMS (e.g. WordPress) and social scheduling tools.
- AI: Claude, Higgsfield, ChatGPT or equivalent assistants for drafting and operations, plus our in-house case study and capability document generators.
- Design: Adobe Creative Suite, Figma, Canva, and etc.
- Reporting and automation: Power BI or similar; Power Automate, Zapier or Make an advantage.

- The marketing activity tracker is current, complete and trusted - the Marketing Manager checks it instead of asking you.
- The request-to-publish process runs to documented lead times, and requesters know what to expect.
- The document and asset environment has been restructured into one reliable source of truth, with outdated collateral retired.
- Stakeholder follow-ups are happening without prompting, and outstanding items are visible rather than remembered.
- There is a repeatable, documented workflow for case studies and project marketing that runs from trigger to publication on a predictable timeline.
- Project teams have a simple, consistent way to provide marketing information - and they actually use it.
- SOPs exist for recurring marketing activity, and new work slots into them rather than being reinvented.
- Turnaround times and marketing time-to-market have measurably reduced.
- Practical AI improvements have been introduced, documented and adopted - with quality holding or improving.
- Asset management is reliable: the current version of anything can be found in under a minute.
- Marketing activity is visible enough that priorities can be discussed with evidence rather than recollection.
