Role Overview
Join Job Duck as a Marketing Operations Specialist and play a vital role in maintaining the operational excellence behind a high-performing legal marketing department. This position is responsible for ensuring marketing data accuracy, maintaining a strong and consistent local online presence, supporting website and CRM operations, managing directory profiles, and overseeing performance tracking initiatives that help marketing leaders make informed decisions. This is a highly structured, process-driven role designed for someone who enjoys working with systems, checklists, and detailed workflows. The ideal candidate takes pride in accuracy, consistency, and organization, and finds satisfaction in keeping marketing assets, data, and reporting reliable and up to date. Success in this role is measured by precision, turnaround time, accountability, and the ability to execute recurring processes with a high degree of accuracy.

Monday to Friday from 8:30 AM - 5:30 PM [PST][PDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Executing monthly AI search visibility and citation testing across ChatGPT, Claude, Gemini, Perplexity, and Google AI Overviews
- Executing email marketing deployments, audience segmentation, and list hygiene activities
- Maintaining team calendars and assigning tasks through Asana
- Documenting meeting notes, action items, and project updates
- Preparing weekly status reports for the Marketing Manager
- Tracking marketing and business development projects, tasks, deadlines, and follow-ups
- Organizing and maintaining HubSpot templates, email sequences, and sales resources
- Validating UTM parameters, campaign tracking links, forms, and routing functionality
- Conducting database hygiene reviews, including duplicate management and field completion audits
- Documenting citations, competitor visibility, screenshots, and supporting evidence
- Monitoring dispute performance metrics and coverage levels
- Submitting eligible Google LSA disputes within required timelines
- Distributing and tracking quarterly attorney profile review checklists
- Maintaining Rainmaker compliance trackers, documentation, deadlines, and profile status records
- Testing profile links and phone numbers to verify proper functionality and routing
- Conducting monthly audits of all firm and attorney profiles to ensure accuracy and consistency
- Managing and maintaining Google Business Profiles for Seattle, Tacoma, Olympia, and Vancouver offices
- Maintaining business profiles across Google, Yelp, Bing, Apple, BBB, chamber directories, and legal directories
- Publishing prewritten content across social media channels and monitoring engagement activity
- Organizing and maintaining marketing asset libraries, including logos, creative files, photography, videos, and brand resources
- Updating attorney and employee biographies when credentials or information change
- Reconciling dispute credits against monthly Google Ads statements
- Maintaining dispute records, tracking logs, resolutions, and reimbursement documentation
- Maintaining secure credential management procedures and profile change logs
- Preparing LinkedIn profile update briefs and maintaining completion records
- Monitoring attorney recognitions, speaking engagements, awards, and media mentions
- Tracking attorney profile performance and directory visibility trends
- Monitoring reviews daily and managing responses according to established approval procedures
- Ensuring complete NAP consistency across all directory listings and citations
- Validating SEO elements, tracking links, and website functionality before content goes live
- Adding images, audio files, metadata, schema markup, titles, descriptions, and tags before publication
- Supporting reporting initiatives and marketing performance tracking
- Coordinating shipping, mailings, marketing materials, and event logistics
- Verifying referral source tagging and data consistency
- Investigating and correcting lead source attribution issues within marketing-owned fields
- Reviewing Google Local Services Ads leads daily
- Managing submissions to legal and professional directories
- Assisting attorneys with creating, updating, and optimizing professional directory profiles
- Maintaining attorney biography and CV libraries
- Maintaining content inventories, publication logs, refresh schedules, URLs, keywords, and update records
- Formatting and publishing blog posts and website pages in WordPress and HubSpot
- Supporting the Vancouver office digital presence launch, including citation management, location page implementation, phone tracking, photography updates, and review generation processes
- Maintaining SOPs, documentation libraries, process guides, and internal FAQs within Trainual
- Performing weekly HubSpot record audits and data quality reviews
- Delivering monthly AI visibility reports to marketing leadership
What We’re Looking For:
- Experience working in marketing operations, digital marketing support, CRM administration, or marketing coordination is preferred
- Comfortable performing data audits, quality control reviews, and reporting tasks
- Experience publishing and managing website content
- Experience with data validation, reporting, and process tracking is required
- Ability to follow SOPs, manage recurring processes, and maintain exceptional accuracy
- Experience supporting local SEO, online directory management, and profile maintenance is preferred
- Familiarity with legal, professional services, or multi-location business marketing environments is a plus
- Comfortable working independently while managing multiple priorities and deadlines
- Strong written and verbal English communication skills are required
- Ability to maintain confidential information and follow established workflows
- Strong organizational and documentation skills
- Comfortable reviewing data and identifying inconsistencies
- Required Software and Tools: HubSpot, WordPress or similar CMS platforms, Microsoft Excel, Google Sheets, ChatGPT, Claude, or similar AI tools, Google Business Profile, Asana, Trainual, BrightLocal or similar citation management platforms, CallRail, Google Local Services Ads Platform, and Google Workspace
