Marketing, Senior Project Manager Office Location: Remote Core Hours: 8:30 a.m. - 5:00 p.m., EST The Senior Project Manager is an experienced individual contributor responsible for managing the end-to-end execution of marketing and fundraising projects — from intake through delivery — ensuring all assigned work is delivered on-quality, on-time, and on-budget. This role manages a diverse portfolio of concurrent projects ranging from straightforward single-deliverable requests to complex, multi-deliverable projects, and partners closely with Marketing Strategists and Program Management to keep work moving through established workflows. The Senior Project Manager is responsible for building and maintaining detailed project schedules, tracking project budgets, coordinating resource needs and managing vendor deliverables when external support is required. This role enforces operational discipline by ensuring projects follow established workflows, routing flows, and quality standards, and contributes to process documentation and continuous improvement efforts. This is a hands-on execution role — the Senior Project Manager drives work forward by keeping cross-functional teams aligned, proactively surfacing risks and blockers, and ensuring the day-to-day momentum that moves projects from kickoff to completion. Based upon department needs, the Senior Project Manager may assume responsibilities associated with other roles to ensure continuity of delivery. Key Responsibilities: Project Intake & Setup Manage the intake-to-kickoff process for assigned projects — ensuring requests are properly evaluated, tiered, scoped, and estimated before work enters production. Build project plans with defined tasks, milestones, dependencies, and work-back schedules within Monday.com. Participate in kickoff meetings to align the cross-functional team on scope, timeline, deliverables, and review milestones. Set up project architecture within Monday.com that aligns with established workflows and meets operational and financial tracking requirements. Project Execution & Delivery Manage the end-to-end execution of assigned projects, ensuring all deliverables move through established workflows with appropriate quality checkpoints, review gates, and approvals. Proactively manage project schedules — tracking progress daily, identifying risks and delays early, and adjusting plans to keep work on track. Track project budgets and hours, flagging scope creep and facilitating change order processes when scope adjustments are required. Coordinate with Program Management to communicate resourcing needs, flag capacity constraints, and determine when external vendor support is required. Manage vendor deliverables on assigned projects — procuring estimates, issuing purchase orders, tracking delivery, and reconciling invoices to ensure external work is on-scope and on-budget. Report project status and percent complete to the Director, Marketing Operations & Program Management on a regular cadence, ensuring billbacks are completed. Cross-Functional Coordination Drive day-to-day project momentum by coordinating across creative, digital, content, web, and strategy teams to keep deliverables moving. Facilitate project-level meetings including status check-ins, internal reviews, and routing sessions — capturing action items and following up to ensure accountability. Ensure the review and routing process is followed on all assigned projects, coordinating the appropriate QA checkpoints based on deliverable type and tier. Serve as the primary point of contact for day-to-day project questions, escalating risks and blockers to the Director, Marketing Operations & Program Management when resolution requires senior involvement. Documentation & Process Improvement Maintain accurate and up-to-date project documentation — including status reports, meeting notes, and deliverable trackers — to drive visibility and accountability. Contribute to the development and maintenance of project templates, template estimates, and workflow documentation. Participate in post-project retrospectives, capturing lessons learned and recommending process improvements. Follow established workflows, routing flows, and quality standards, reinforcing operational discipline across all assigned projects. Based upon department needs, may assume responsibilities associated with other roles including Project Coordinator to ensure continuity of delivery. Qualifications: Education: Bachelor’s degree in Marketing, Business, Communications, or a related field or equivalent experience. Experience: 5 + years of experience in project management or marketing operations within a fast-paced in-house agency, agency, or marketing services environment. Non-profit or mission-driven organization experience preferred. Technical Skills: Advanced to expert level experience with Monday.com. Strong proficiency in project management, scheduling and resource tracking. Physical Demands/Work Environment Physical Demands: Prolonged periods sitting at a desk and working on a computer. Occasional standing, walking, or reaching with hands and arms.
