Position Overview
Xterra Health is a fast-moving, mission-driven organization empowering veterans through transparent access to the care, benefits, and support they’ve earned. Our Medical Evidence Consulting team helps veterans understand what their medical, military, and VA records show and how that evidence supports the benefits they have earned.
As demand for VA medical evidence roadmaps has grown, our consultants need to stay focused on their phone consultations with veterans. This support role was created to review medical, military, and VA records and build the draft roadmap for each veteran, ensuring roadmaps are completed accurately and on time.
Supporting four consultants, this person turns raw records into an accurate draft roadmap that consultants finalize after their phone consultation with the veteran.
This is a role for someone who has a hands-on clinical background, such as medical assistant, EMT, paramedic, or LPN, and takes pride in careful, detail-oriented record review that directly serves veterans.
Key Responsibilities
Record Review
- Review veteran medical records, along with military and VA records thoroughly to identify diagnoses, treatments, symptoms, and clinical findings relevant to the roadmap
- Organize findings in a consistent format and build the draft roadmap that consultants finalize after their phone consultation, without re-reviewing source records
- Flag gaps or inconsistencies to the assigned consultant, and missing records to the team coordinator, early to prevent delays
- Apply clinical knowledge to interpret terminology, abbreviations, and treatment histories accurately
Consultant Support
- Support four consultants by prioritizing and managing a shared workload of record reviews and draft roadmaps to meet deadlines per policy
- Prepare draft roadmaps and supporting medical summaries that consultants can rely on during their phone consultations and to finalize accurate medical evidence roadmaps
- Respond to consultant questions about records and clinical details promptly to keep roadmap work moving
- Communicate workload status and capacity to the team so assignments stay balanced
Quality and Accuracy
- Verify the accuracy and completeness of each review before handoff to reduce rework
- Maintain organized, secure records of reviews and findings for each veteran file
- Protect veteran privacy and handle all records in line with company policy and applicable privacy requirements
Team Operations
- Document review checklists and standard practices to keep work consistent across consultants
- Identify recurring record issues and recommend process improvements to speed up turnaround
- Participate in team meetings and training to build knowledge of roadmap standards and veteran needs
How This Role Works With Others
This role sits within the Medical Evidence Consulting team and supports consultants directly, reporting to the Senior Liaison. To be clear about boundaries:
- You own: the basic quality, completeness, and timeliness of the record reviews and draft roadmaps you produce, and how you organize and prioritize your assigned workload.
- You partner on: record requests with the team coordinator, and roadmap content with the consultants you support.
- You don’t own: final roadmap content or conclusions delivered to veterans, which belong to the consultants. This role does not provide diagnoses or clinical advice to veterans and has no spending or signature authority.
Qualifications
Required
- 3+ years clinical background as a Medical Assistant, EMT, Paramedic, or LPN, or equivalent demonstrated clinical experience
- Ability to read and interpret medical, military, and VA records, terminology, and treatment histories accurately
- Strong attention to detail and the ability to review large volumes of records with consistent accuracy
- Ability to manage competing priorities and deadlines across multiple consultants
- Strong written and verbal communication, documentation, and follow-through
- Proficiency with relevant systems, or ability to learn them quickly
- Comfort working independently in a remote environment and handling sensitive personal health information responsibly
Preferred
- Basic knowledge of the VA claims process
- Military service, particularly in a medical or healthcare role
- Experience with veteran-serving organizations or VSOs
- Experience summarizing medical records
Core Competencies
- Interpreting and understanding medical terminology, abbreviations, and records
- Attention to detail
- Accuracy and quality of work
- Time management and prioritization
- Written communication
