JOB SUMMARY:
The Medical Records Technician is responsible for collecting, organizing, maintaining, and securing patient health information in compliance with legal, ethical, and regulatory standards. This role ensures the accuracy, confidentiality, and accessibility of medical records to support patient care, billing, reporting, and compliance requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Partner with Intake Team and primarily process medical records received through various sources (provider portal, fax, mail, HIH, etc.) and process to medical record requests in Linx environment
- Review received records to ensure patient and provider information for HIPAA compliance
- Ensure completeness, accuracy, and timeliness of medical documentation
- Review records for consistency, missing information, and compliance with healthcare regulations
- Respond to internal and external requests for medical records (e.g., providers, auditors, insurance companies)
- Track and manage record retention and destruction schedules
- Assist with audits, quality assurance, and compliance reviews
- Safeguard patient privacy and confidentiality at all times
- Collaborate with clinical and administrative staff to resolve record discrepancies
- Adhere to all federal, state, and organizational regulations related to health information management, including HIPAA, OSHA (as applicable), and accreditation standards.
MINIMUM QUALIFICATIONS & REQUIREMENTS:
Required
- High school diploma or GED required
- Knowledge of medical terminology, healthcare documentation standards, and privacy regulations
Preferred Certifications
- Registered Health Information Technician (RHIT)
- Certified Electronic Health Records Specialist (CEHRS)
- Other AHIMA or AAPC certifications may be preferred
Skills and Competencies
- Strong attention to detail and accuracy
- Familiarity with EHR systems and healthcare software
- Understanding of HIPAA and patient privacy requirements
- Organizational and time management skills
- Ability to handle sensitive information discreetly
- Basic computer proficiency, including data entry and document management
- Effective communication and interpersonal skills
- Typically works in hospitals, clinics, physician offices, or healthcare organizations
- Office-based role with extensive computer use
- May involve sitting for extended periods
PHYSICAL DEMANDS:

Regular eye-hand coordination and manual dexterity is required to operate office equipment. The ability to perform work at a computer terminal for 6-8 hours a day and function in an environment with constant interruptions is required. At times, Team Members are subject to sitting for prolonged periods. Infrequently, Team Member must be able to lift and move material weighing up to 20 lbs. Team Member may experience elevated levels of stress during periods of increased activity and with work entailing multiple deadlines.
