Position Overview: The Membership & Committee Manager for Talley’s client, the American Headache Society (AHS) leads membership operations, including outreach and retention campaigns, and serves as key liaison for several Committees. This role serves as the operational backbone of the membership function — partnering with the Account Executive, the IT Systems Administrator, and client team to ensure data integrity, retention performance, and operational efficiency. The ideal candidate is highly analytical, detail-oriented, and experienced in managing complex membership structures, interpreting retention trends, and committee liaison experience. This individual must have a keen eye for details, strong time management to manage competing priorities, and strong written and verbal communication skills. Key Responsibilities: Membership Develops and oversees the full membership retention and acquisition cycle, providing data-driven insights to support AHS strategy and decision-making Develops and oversees the implementation of retention campaigns in conjunction with the Membership Chair, including email merge campaigns segmented by renewal status, membership type, tenure, or engagement level, to drive timely renewals and reduce lapse rates Develops member outreach initiatives in conjunction with the Membership Chair and manages execution via HubSpot or similar communication system Monitors the performance of retention campaigns and adjusts messaging, timing, or segmentation strategies based on response and conversion data Processes membership applications in accordance with AHS policy Tracks key metrics and develops trend reports for AHS CEO and volunteer leadership Maintains and manages complex membership structure configurations within the AMS, partnering with the SysAdmin on advanced setup, troubleshooting, and system-level changes as needed Identifies opportunities to leverage AMS functionality to improve operational workflows, reduce manual effort, and enhance reporting capabilities Serves as the lead for Society’s membership database, including record maintenance, knowledge of key features and workflows, and engagement tracking Special Interest Groups (SIGS) Oversees SIGS designed to enhance AHS’ scientific, educational and patient care goals: Supports SIG leaders in developing programs and initiatives. Assist with implementation and execution of SIG webinars via Zoom webinar. Coordinates SIG meetings and ensures alignment with AHS strategic goals. Committees Act as a liaison for the Membership Committee, Practice Management Committee, Achievement Recognition Committee, and other committees as needed. Provide administrative support by taking minutes during committee meetings and collaborating with Chairs to ensure the timely execution of key action items. Oversee the creation of certificates and letters, update presentation slides, and ensure proper recognition of award recipients for the Achievement Recognition Committee. Monitor and track the progress of workgroups within various committees to ensure alignment with organizational objectives. Attend on-site committee meetings during the Annual Scientific Meeting and Scottsdale Headache Symposium Trade Show Participates at two industry tradeshows annually, including booth set-up and representation of AHS. Success Metrics Retention campaigns are planned, executed, and tracked within Monday.com with clear timelines, ownership, and deliverables, ensuring no campaign milestones are missed. Aims for 85% or higher membership retention rate, with appropriate segmentation tracking throughout the retention cycle, and delivery of membership reports with trend analysis and actionable recommendations to key stakeholders. 90% or higher on-time fulfillment rate for committee requests, including proactive scheduling, material distribution, and action item follow-through. Demonstrates sound judgment in prioritizing competing membership and committee demands, delivering committee support on schedule and closing member requests within established service-level targets. Actively expands working knowledge of key Society software including AMS and Communication platforms by attending system trainings. Physical Demands & Working Environment: This is a remote position. Percentage of travel (inclusive of Talley and client related obligations) – 5-10% This role primarily involves desk-based work using a computer and standard office equipment. Occasionally, light lifting of items like laptops or small office supplies (up to 15 pounds) may be required. Employees are expected to maintain a comfortable home office setup and adhere to safety guidelines for physical needs, ensuring an efficient and productive work experience.
