Middle Project Manager/Business Analyst

We are looking for a Middle Project Manager / Business Analyst to improve and support knowledge management, onboarding, learning, and operational processes within our Creative Team. This role goes beyond collecting requirements or maintaining documentation. We are looking for someone who can understand how processes work end to end, identify opportunities for improvement, take ownership of projects, and help the team scale efficiently. The Project Manager will be one of the key participants in our changes — helping design new workflows, define requirements, support implementation, and ensure that new solutions are successfully adopted by the team. What You Will Do Process Analysis & Improvement Understand existing workflows, identify bottlenecks and inefficiencies, and proactively propose improvements that make processes more scalable and effective. Requirements & Solution Design Gather and structure stakeholder needs, translate them into clear requirements, and participate in designing new processes, tools, and automation solutions. Project Ownership Take ownership of operational and improvement initiatives from idea to implementation: define scope, coordinate stakeholders, track progress, manage risks, and drive projects to completion. Documentation & Knowledge Management Maintain and improve the Creative Team’s documentation in Confluence, ensuring it is consistent, up to date, well structured, and aligned with current processes. Onboarding & Access Coordination Coordinate onboarding for new team members, including access to Confluence, Asana, internal knowledge resources, and other relevant tools. Maintain onboarding checklists and supporting materials. Learning & Development Coordinate internal training through the company’s LMS and support external educational projects, courses, and workshops. Database Management Support the development and maintenance of a structured marketing database, ensuring that information remains relevant, organized, and regularly updated. What We Are Looking For: Experience as a Technical PM / Business Analyst / Production Manager: You know how to approach a business stakeholder, break a chaotic process down into "LEGO blocks," draft clear functional specs, and oversee the solution's delivery. Background in Evolving Internal Products: Ideally, you have prior experience automating back-office or production workflows within product-led tech companies or large advertising agencies. High Level of Ownership & Proactivity: We need someone who doesn’t wait for top-down, step-by-step instructions. You analyze the system independently, spot areas for growth, propose solutions, and drive them to completion. Structured & Systemic Approach: The ability to operate effectively in a fast-paced environment with high uncertainty, turning operational chaos into clear, structured algorithms. Understanding of Technical Logic: You don't need to write code or know SQL, but it is essential that you understand the underlying logic of software systems, databases, and integrations. Nice-to-Have: A genuine interest in Generative AI tools and experience integrating them into workflows. Personal pet projects related to automation (e.g., if you’ve built a no-code/low-code workflow just to automate something for yourself). Prior experience in creative production, marketing, or ad agencies (understanding the exact dynamics between creative producers and designers).
