Overall Purpose
Reporting to the Senior Manager, Capital Revitalization Services, the Move Coordinator is responsible for planning, coordinating, and overseeing the relocation of school operations to new, renovated, or existing facilities. The position coordinates all aspects of the relocation process, including move planning, logistics, inventory management, vendor coordination, implementation, and occupancy readiness, ensuring relocations are completed safely, efficiently, and with minimal disruption to school operations.
Acting as the primary point of contact for move-related activities, the Move Coordinator leads complex school relocation projects involving multiple stakeholders, contractors, consultants, vendors, and Board departments, ensuring the successful transition of school operations within established project and school opening timelines.
Summary of Duties
- Develop and coordinate comprehensive move plans, schedules, and logistics for school relocations, ensuring alignment with project timelines and operational requirements.
- Consult with school administrators and stakeholders to identify move requirements and establish the scope of work for planning and execution.
- Prepare move sequencing, inventories, maps, and logistics documentation identifying furniture, equipment, supplies, and specialized assets to be moved, including destinations, travel routes, and placement requirements in accordance with approved floor plans and room layouts.
- Conduct site assessments, move readiness reviews, and pre-occupancy walkthroughs to confirm facilities are prepared for occupancy and operational readiness.
- Coordinate furniture, fixtures and equipment (FF&E) inventory and asset management activities associated with relocation projects, including asset tagging, labelling, tracking, and storage requirements.
- Maintain and update centralized move tracking systems, project records, inventories, schedules, and documentation to support operational accountability, audit requirements, reporting, and future planning.
- Monitor and track relocation-related expenditures against approved project budgets and provide input regarding move-related cost estimates and funding requirements.
- Act as the primary liaison among school administrators, Board departments, contractors, consultants, and service providers to coordinate move activities and support the continuity of school operations.
- Lead move planning meetings and working groups; develop move communications, schedules, move readiness resources, and packing instructions; and assist in managing stakeholder expectations throughout the relocation process.
- Support the procurement and contract administration of moving services and related vendors, including preparing scopes of work, evaluating quotations, coordinating vendor schedules, and monitoring compliance with contractual requirements.
- Coordinate occupancy readiness activities to support the successful transition of school operations and school opening requirements.
- Monitor move execution activities on-site, coordinate daily operations, resolve move-related issues, and ensure adherence to approved schedules and relocation plans.
- Oversee post-move activities, including unpacking, final setup, resolution of move-related deficiencies, waste removal, and post-move evaluations to identify opportunities for continuous improvement.
- Provide leadership in fostering equity and inclusiveness in the development and implementation of programs and services.
- Other duties as assigned.
Qualifications
- Three year community college diploma in a related field (e.g., Business Administration, Construction Management, Architectural Technology, Engineering Technology) with four years of progressively responsible experience coordinating facility relocations, capital projects, construction projects, or large organizational moves, or an equivalent combination of education and experience.
- Demonstrated ability to coordinate and manage multiple complex projects, priorities, schedules, and stakeholders simultaneously.
- Ability to interpret architectural drawings, floor plans, and facility layouts.
- Experience coordinating contractors, consultants, vendors, and service providers in a project-based environment.
- Experience with procurement and contract administration, inventory and asset management, and project scheduling.
- Demonstrated project management, organizational, analytical, and problem-solving skills.
- Strong verbal, written, interpersonal, and stakeholder engagement skills, with the ability to work effectively with a wide range of internal and external contacts.
- Knowledge of the Ontario Building Code and applicable health and safety regulations.
- Knowledge of furniture systems and components, including configuration capabilities and limitations.
- Proficient computer skills including spreadsheets, databases, word processing, presentation software, graphical software (e.g., AutoCAD), project tracking systems, and other related business applications.
- Proven ability in promoting equitable practices which value inclusiveness and diversity.
Special Requirements
- Travel to TDSB sites is required to support relocation activities.
- Required to work evenings and weekends sometimes with minimal or no notice to meet operational requirements.
- Required to wear safety equipment (e.g., steel boots, hard hat, vest) when visiting construction sites.
