Job Brief
Remotee, through our sister company Recruit Sync, is seeking an organised, detail-oriented Administrative Officer to support a growing NDIS (National Disability Insurance Scheme) services provider based in NSW, Australia. This role plays a key part in keeping client enquiries and referrals moving quickly and accurately through to the right people, supporting the business's Client Service Coordination team rather than working directly with clients over the phone.
You'll work closely with the Client Service Coordinator team, taking ownership of allocating incoming desk tickets to the appropriate coordinator each day and meeting with the Team Lead daily to work through any tickets that need extra attention or escalation. The role also includes basic data entry into the practice management system (Nookal) and liaising with clinicians as required. Customer interaction is limited to email — no phone-based client contact is required.
This role is well suited to someone with genuine admin and ticket-management experience within the NDIS or aged care support sector, who understands the pace and sensitivity of coordinating services for NDIS participants, and who brings a stable, long-tenure work history rather than frequent job changes.
Mandatory Requirements
- 1-2 years' experience within the NDIS or aged care support sector in Australia.
- Experience managing customer support/service desk tickets, with solid administrative or coordination experience.
- Exceptional written and verbal communication skills — this role relies on clear, professional email communication as the primary form of client contact.
- Zoho Desk experience preferred, though not mandatory.
- Nookal experience preferred, though not mandatory (the client has noted this is quick to learn).
- Highly organised and detail-oriented, with the ability to triage and prioritise multiple incoming tickets at once.
- Confident liaising daily with a Team Lead to flag and resolve complex or unclear items.
Responsibilities
- Allocate incoming desk tickets to the appropriate Client Service Coordinator each day.
- Meet daily with the Client Service Coordinator Team Lead to review tickets that are unclear, complex, or need escalation.
- Perform basic data entry into Nookal and liaise with clinicians as required.
- Support the Client Service Coordination team in setting up and managing enquiries related to NDIS services.
- Help ensure enquiries and referrals are processed quickly and accurately as they come through.
- Maintain accurate records and help ensure a smooth day-to-day ticket flow across the team.
- Manage client-related correspondence via email as required (no phone-based client contact).
- Support other general administrative tasks as required.
