Job Description • General administration support for the business and Support Coordination team • Managing and responding to emails and general correspondence • Maintaining participant files, records and documentation • Assisting with participant onboarding and ensuring required documents are completed and filed correctly • Preparing and updating service agreements and other NDIS-related documentation • Following up Plan Managers, providers, participants and other stakeholders as required • Assisting with NDIS funding, service booking and plan-related administration • Monitoring participant plan dates, funding periods, reviews and important deadlines • Assisting with invoices, payment follow-ups and reconciliation of administrative records • Maintaining spreadsheets, trackers and internal systems • Scheduling meetings and appointments and assisting with calendar management • Preparing basic letters, templates and correspondence • Helping Support Coordinators with document preparation and administrative tasks • Maintaining confidentiality and appropriate handling of sensitive participant information • Keeping (client) updated on outstanding tasks, deadlines and matters requiring their attention • Helping improve and streamline our administrative systems and processes where possible Must Haves • Strong experience in NDIS Support Coordination administration is essential. • Solid understanding of NDIS processes, participant documentation, service agreements, funding, plan management and provider coordination. • Excellent organisational and administrative skills, with strong attention to detail. • Reliable, proactive and able to manage tasks independently with minimal supervision. • Strong written and verbal communication skills. • Ability to follow up with participants, Plan Managers, providers and other stakeholders professionally and consistently. • Ability to manage confidential and sensitive participant information appropriately. • Comfortable using spreadsheets, email, calendars and other administrative systems. • Ability to prioritise tasks, meet deadlines and take ownership of outstanding administrative matters. • Willingness to learn the business’s systems, processes and procedures and contribute to improving administrative workflows.
