Summary/Objective: The Network Director of Executive Coordination provides dedicated administrative and executive support to the Chief of Staff, serving as a trusted point of contact across the Executive Team and Board and upholding the highest standard of confidentiality in all interactions. In addition to executive support, this role carries out Foundation-related tasks assigned by the Chief of Staff, which may include fundraising, donor engagement, grant development, volunteer coordination, and community partnership activities, in support of the Fieldstone Foundation’s mission to fight childhood food insecurity and meet children’s basic needs through the Summer Feeding, Backpack, and Basic Needs (winter gear and school supplies) programs across DAXIA Integrated Health Network affiliates, including Citizen Advocates, Community, Work & Independence (CWI), St. Joseph’s Addiction Treatment & Recovery Center, Harrison Place Development Fund Company, and North Country Freedom Homes. Essential Functions (Job Duties): Chief of Staff Administrative & Executive Support Provide day-to-day administrative and executive support to the Chief of Staff, interacting regularly and professionally with the CEO, members of the Executive Team, including the C-Suite and AVPs; confidentiality is a top priority in all interactions. Coordinate scheduling, calendar management, and appointments for the Chief of Staff, as needed. Coordinate travel arrangements for the CEO and Chief of Staff, including booking transportation and lodging, preparing itineraries, and managing changes as needed. Manage event planning and scheduling for executive and Board-level functions, such as Board retreats and holiday gatherings. Process purchase order (PO) requests. Prepare, print, and bind Board packets for distribution at Board meetings. Attend meetings to take notes, as needed (anticipated future responsibility). Provide hands-on, in-person support at Board meetings. Prepare correspondence, reports, and presentation materials for executive leadership and the Board, as directed by the Chief of Staff. Support Board recruitment, onboarding, and ongoing committee engagement, as assigned. Partner with Network leadership on special projects and initiatives as directed by the Chief of Staff. Foundation Support (As Assigned by the Chief of Staff) Assist with donor engagement, stewardship, and fundraising activities for the Fieldstone Foundation, including cultivating and acknowledging gifts, sponsorships, and contributions. Support Foundation fundraising events and community impact programs, including the Summer Feeding Program, Backpack Program, and Basic Needs Program (winter gear and school supplies). Assist with grant research, writing, compliance tracking, and reporting for Foundation-supported programs. Maintain Foundation CRM data and assist with dashboards, trend analysis, and fundraising reports for leadership. Leads social media strategy for the Fieldstone Foundation, including developing a content calendar, planning and executing campaigns, and reporting on engagement and results to inform future outreach; support additional Foundation communications, including donor correspondence and community outreach materials. Assist with recruiting, training, and engaging volunteers for Foundation programs and events. Perform other Foundation-related duties as assigned by the Chief of Staff. Supervisory Responsibilities: No direct reports currently; may supervise Foundation program or volunteer staff as the Foundation's structure develops. Minimum of two years of administrative, executive support, or nonprofit development/fundraising experience. Experience providing administrative or executive-level support, with strong discretion and confidentiality. Strong organizational, project management, and financial/budget support skills. Experience with donor management or CRM systems preferred. Excellent written, verbal, and presentation communication skills. Valid driver’s license with the ability to travel throughout the Network service area. Additional Requirements: Experience in healthcare, behavioral health, human services, or nonprofit organizations preferred. Knowledge of federal, state, and private grant funding a plus. Experience preparing executive-level reports, dashboards, and performance metrics. Experience working with nonprofit governing boards preferred. Ability to maintain strict confidentiality in all Executive Team and Board-related matters.
