This highly visible role ensures the workplace is safe, welcoming, organized, cost-effective and ready for employees, candidates, visitors and business partners. The NYC Office Manager will oversee facilities, vendors, security and badge access, workplace supplies, seating and office events while partnering closely with the People and Culture, IT and Executive Assistant teams. This is an office-based role requiring consistent on-site presence. Occasional adjustments to working hours may be needed to support company events, maintenance, vendor access or building-related needs. Advance notice will be provided whenever possible. Primary Responsibilities Office Operations and Workplace Experience Own the daily operations of the New York office and serve as the primary point of contact for workplace questions and needs. Maintain a welcoming, professional and brand-right experience for employees, candidates, visitors and business partners. Ensure conference rooms, shared spaces, kitchens and other common areas are consistently clean, stocked and presentation-ready. Manage office supplies, equipment, food and beverage, mail, deliveries, signage and other workplace resources. Maintain accurate seating plans and coordinate workspace assignments and office moves. Partner with IT to support conference-room technology, workplace equipment and new-hire readiness. Identify and implement practical improvements to workplace processes, service and employee experience. Facilities Security and Vendor Management Manage relationships with building management and workplace vendors across facilities, maintenance, cleaning, security and other office services. Coordinate repairs, preventive maintenance and vendor access, including occasional work outside standard office hours. Administer badge access and visitor procedures in partnership with internal stakeholders and building security. Maintain current vendor contacts, contracts, certificates and renewal information, and monitor service quality against expectations. Support office safety, emergency procedures, required drills and business-continuity needs. Escalate workplace, security or building concerns promptly and coordinate resolution with the appropriate teams. Budget and Administration Manage the NYC workplace budget, track expenses, review invoices and identify opportunities to improve value and control costs. Maintain organized and accurate workplace records, including vendor documentation, seating information and access records. Provide defined project and administrative support for People and Culture initiatives related to the workplace and employee experience. Handle sensitive employee and business information with discretion and confidentiality. Events and Employee Experience Coordinate office-based employee experiences, including town halls, celebrations, learning sessions, benefits fairs, volunteer activities and other company events. Manage event logistics, vendors, room setup, supplies and day-of execution in partnership with event owners and the Executive Assistant team. Support new-hire office readiness, including badge access, workspace preparation, welcome materials and on-site logistics. Qualifications 3+ years of experience in office management, workplace operations, facilities coordination, employee experience or a related area. Experience independently managing office operations and external vendor relationships. Strong organizational and project-management skills with exceptional attention to detail and follow-through. A proactive, solutions-oriented approach and sound judgment when priorities shift or unexpected issues arise. Strong communication and interpersonal skills with a service mindset and the confidence to work across levels and functions. Ability to manage multiple priorities, stay composed under pressure and take ownership through resolution. Proficiency with Microsoft 365, including Outlook, Teams, Excel and PowerPoint. Experience with building access, visitor-management, facilities or workplace-management systems is preferred. Ability to occasionally lift or move workplace supplies and materials, with or without reasonable accommodation. Success in This Role The NYC office operates smoothly and consistently provides a safe, welcoming and professional experience. Workplace requests and issues are addressed promptly, communicated clearly and followed through to resolution. Vendor performance, contracts and spending are actively managed, accurate and within budget. Badge access, seating plans, safety documentation and workplace records remain current and secure. New-hire workspaces and access are ready before each employee’s start date. Office events and employee experiences are delivered thoughtfully, on time and within budget. Pay Transparency – The following represents a good faith estimate of the compensation range for this position. At Orveon Global, we carefully consider a wide range of non-discriminatory factors when determining salary. Actual salaries will vary depending on factors including but not limited to location, education, experience, and qualifications. The pay range for this position is $80,500 - $120,500.
