The Role
This role is three things. You are the assistant to our CEO: Help with the calendar, travel, the inbox, research and follow-up that keep the week moving. Second, you keep our Weston office running. Third, you are the assistant for light project related work when the team needs additional support.
You will own a handful of recurring things: some vendor and billing accounts, company laptops going out and
coming back, and the logistics behind our company on-sites, travel and events.
The list below is a starting point. The people who do well in this kind of role are the ones who notice what is
coming, ask good questions, and take things off other people's plates before being asked. We would rather hire someone who wants to think with us than someone waiting for the next assignment.
What You'll Do
● Manage the calendar: scheduling, rescheduling, and protecting time across several time zones
● Book travel from end to end: flights, hotels, and ground transportation
● Help with the inbox: sort what matters, flag what is urgent, draft replies, and follow up so nothing gets lost
● Do the background work such as research a company, a vendor, a market, or a question
● Reach out to vendors and partners on the CEO's behalf and see conversations through to an answer
● Order supplies, equipment, and anything else needed
Run the Weston Office
● Open packages and put deliveries away
● Keep the kitchen, fridge, and office supplies stocked, and reorder before we run out
● Keep the space organized, especially the kitchen
● Pick up and sort the mail
● Ship out empty laptop boxes when equipment needs to come back to us
Billing and Vendor Accounts
● Keep track of recurring invoices, autopay accounts, and who owns what, so nothing lapses when
responsibilities shift
Laptops and Equipment
● Work with our People and IT team on laptops for new hires and departures
● When someone leaves, ship them an empty box and confirm the laptop comes back
● When a laptop arrives, log it in our inventory tracker and wipe the previous user's profile
● Keep the inventory tracker current so we always know where our equipment is
Company On-Sites
● Check in with each team member about travel and lodging, then book what they need
● Find and reserve hotel conference room space
● Make dinner and lunch reservations, including private dining when we need it
● Order lunch to the office
● Handle the details that make a few days together feel easy for everyone attending
And Whatever Else Comes Up
● Ad hoc requests from any of the above, and the ones nobody has thought to ask for yet
● Light project support as needed
What We're Looking For
● 3+ years supporting an executive, managing an office, or doing similar administrative or operations work
● Reliable follow-through when something is handed to you, it gets finished and closed out
● Clear, friendly writing. You will be emailing executives, vendors, hotels, and the whole team
● Organized, with a good memory for recurring deadlines and the details other people forget
● Comfortable with Google Workspace (Gmail, Calendar, Drive, Sheets, Slack and willing to learn new tools,
including AI ones
● Good judgment and discretion with confidential business, financial, and employee information
● Resourceful. You would rather find the answer and bring a recommendation than wait to be told
● Comfortable with a company that moves fast and changes its mind sometimes
Preferred
● Experience supporting a fully remote or distributed team
● Exposure to accounts payable, vendor management, or billing
● Experience coordinating events or company gatherings
● Experience using AI tools to move faster on research, drafting, or scheduling
