Job Description

We are looking for an Onboarding Specialist to facilitate and execute end-to-end onboarding processes, support employee lifecycle transactions, maintain HRIS data, and deliver an exceptional customer-service-driven experience for candidates and employees. This position will be full-time and remote.

What You'll Do

  • Facilitate and execute end-to-end onboarding for new hires, serving as a responsive, customer-focused point of contact from offer through start date
  • Coordinate pre-employment screening (background checks, drug screenings), ensuring compliance and a smooth candidate experience
  • Ensure accurate, compliant I-9 completion and employment eligibility verification
  • Process HRIS transactions for candidates and employees (e.g., offer letters, rescinds, start/end date changes), with timely stakeholder communication
  • Support the setup and maintenance of contingent worker engagements, partnering with suppliers on SOW execution and rate changes
  • Serve as a primary point of contact between CAI and suppliers, resolving worker-related issues through timely, effective communication
  • Deliver on client-specific requirements with precision, care, and a strong service mindset
  • Serve as subject matter expert on new hire processes and workflows, providing clear guidance to candidates and stakeholders
  • Utilize the HRIS system (Workday) to execute onboarding and lifecycle processes efficiently, maintaining accurate documentation
  • Partner with Compliance, HR Business Partners, Talent Acquisition, and other HCM teams to ensure a seamless candidate and employee experience
  • Support immigration-related onboarding needs and act as a liaison to CAI's Immigration Specialist to help ensure accurate, timely processing and filings
  • Maintain discretion and confidentiality when managing sensitive personal information
  • Identify and resolve process gaps, driving innovative workflow improvements
  • Participate in cross-functional process improvement initiatives in partnership with the business
  • Support other HCM teams on special projects and strategic initiatives that advance organizational goals

What You'll Need

Required:

  • 3+ years of experience in an HR onboarding or human capital management support role
  • Excellent interpersonal and organizational skills, with a strong customer-service orientation
  • Excellent attention to detail, work prioritization skills, and accuracy with data entry
  • Ability to think critically, solve problems, make decisions, and build trust across the organization
  • Brings innovative ideas and creative thinking to problem-solving and enhancing processes
  • Strong experience with MS Office Suite (Word, Excel, Outlook)
  • Proven ability to communicate clearly and concisely, both in writing and verbally

Preferred:

  • Bachelor's degree in Human Resources, Business, a related field, or equivalent experience preferred
  • Experience with Workday HCM
  • Experience supporting contingent workforce programs
  • Experience with immigration-related onboarding processes
  • Proven ability to identify opportunities for process improvement and operational efficiency

Physical Demands

  • Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards
  • Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
  • Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor

$52,000 - $60,000 per year

The pay range for this position is listed above. Exact compensation may vary based on several factors, including location, experience, and education. Benefit packages include medical, dental, and vision insurance, as well as 401k retirement account access. Employees in this role receive paid time off and may also be entitled to paid sick leave and/or other paid time off as provided by applicable law.
