We are hiring a full-time Operations Specialist to support a healthcare company that partners with nurse practitioners to launch and operate their own insurance-based practices across Massachusetts, Maryland, and Connecticut. The company handles credentialing, payer contracts, billing, and back-office operations so providers can focus on their patients.
This role will own the operational execution behind 50+ active practices while supporting approximately 5–6 new practice launches each month. You’ll manage practice launches and EHR setup, build and maintain practice websites, manage Google Business Profiles, support nurse practitioners with day-to-day requests, and coordinate documentation with the company’s credentialing partner.
This is a high-volume role that requires someone who doesn’t just complete tasks individually. You should be constantly looking for ways to create templates, checklists, bulk workflows, and SOPs that make the operation more efficient as it grows. You’ll work directly with the US operations team and founders, with the expectation that nothing slips and providers always know where things stand. Full-time. Fully remote. Must be based in Latin America. Must be ENGLISH-SPEAKING.
Hours: 9:00 am to 5:00pm EST, Monday–Friday.

Key Responsibilities:
- Own the launch checklist for approximately 5–6 new practices per month, including EHR configuration, scheduling templates, patient-facing links, and go-live readiness
- Build new practice websites from existing templates without relying on a developer
- Manage website updates including hours, services, providers, and booking links, with changes completed within two business days
- QA every website and page before it goes live
- Create and verify Google Business Profiles for new practices
- Maintain accurate hours, services, photos, and other information across Google Business Profiles for 50+ practices
- Publish Google Business Profile updates and respond to reviews within 48 hours
- Act as the first point of contact for nurse practitioners through email, Slack, and phone, providing document support, status updates, and answers to how-to questions
- Maintain a first-response time of one business day for provider requests
- Collect documentation from nurse practitioners and provide it to the credentialing partner within three business days of the request
- Track credentialing progress against practice launch dates and proactively flag missing documentation or delays before they impact go-live
- Ensure missing provider documentation does not delay practice launches
- Standardize website templates and implement systems for managing profiles in bulk
- Build reusable response templates for common provider questions and requests
- Create and maintain SOPs, checklists, and workflows across each area of responsibility
- Continuously identify opportunities to batch or automate repetitive administrative work so the company can support additional practices without creating unnecessary manual work
Key Qualifications:
- 2+ years of operations or administrative experience supporting US healthcare practices, clinics, or healthcare startups
- Experience building and maintaining websites using a CMS such as WordPress, Squarespace, Wix, or Webflow
- Comfortable launching a new website from an existing template without developer support
- Experience managing Google Business Profiles at volume, including verification, listing updates, and review responses
- Professional English proficiency (C1 or above) and comfortable speaking directly with US clinicians on live calls
- Extremely detail-oriented and comfortable working from structured checklists
- Strong follow-through and comfortable proactively chasing missing information without being reminded
- Process-oriented and naturally looks for opportunities to create templates, checklists, SOPs, and repeatable workflows
- Comfortable handling sensitive provider information carefully and responsibly
- HIPAA training completed or willing to complete training during the first week
- Available full-time during US Eastern business hours
- Must own and be able to use a working laptop, reliable high-speed internet with a backup connection, and a quiet space for calls
Nice to Have:
- Experience launching new medical practices rather than only supporting established practices
- Familiarity with US credentialing and payer enrollment, including CAQH, NPPES, and PECOS
- Experience setting up or configuring EHR systems
- Experience using bulk listing management tools such as BrightLocal or Yext
- Previous experience working with nurse practitioners or independent medical practices
- Comfortable using AI tools to automate or speed up repetitive administrative work
