Reporting to the Administration Manager, the Operations Administrator is answerable for leveraging developed policies and procedures to process service work orders in an accurate and timely manner. The Operations Administrator will also update and maintain customer account information ensuring that account data is current and accurately reflects the account status.
What you’ll do:
- Process daily service work orders, ensuring timely and accurate completion, communicating discrepancies to appropriate contacts, and performing credit/rebill transactions as needed.
- Review and resolve open work orders in collaboration with service coordinators and technicians to maintain workflow efficiency.
- Validate and update customer account information for conformity and accuracy; obtain missing details and maintain system integrity.
- Assure accuracy of asset movements and billing for labor, materials, and service transactions, aligning with pricing strategies.
- Post daily truck deliveries, meter readings, and cylinder exchanges in the database, research and correct posting errors, and maintain MDELs (general and inactive tank projects).
- Re-price deliveries and process credit/rebill transactions for meter readings and service orders when necessary.
- Oversee liquid inventory across meters, trucks, yards, and distillates, including month-end entries, reconciliation, and investigation of discrepancies or handheld entry errors.
- Advise billing of throughput deliveries and communication of discrepancies to relevant stakeholders.
- Identify workflow gaps and implement corrective actions, collaborating with cross-functional teams to streamline processes and enhance efficiency.
- Track KPIs and prepare performance reports for leadership while analyzing error trends and implementing preventive measures.
- Act as the primary escalation point for internal and external stakeholders, coordinating with Operations, Finance, and Supply teams to resolve complex issues.
- Assure conformity with corporate policies, audit requirements, and regulatory standards across all processes.
- Guide team competency and process adherence through structured training and development programs.
- Provide additional support to logistics and customer coordination, including answering calls, facilitating service and delivery, and managing special delivery requests or forecasting logs; if applicable.
- Execute administrative and coordination tasks such as managing OT codes, searching LSDs, supporting affinity groupings, reviewing EODs and PD tool updates, and monitoring Costco deliveries; if applicable.
- Performs other related duties as assigned.
What you bring:
- High school diploma or GED, equivalent work experience in administrative or operations support roles or related fields.
- Minimum of one to three (1-3) years of work experience in operations, service coordination, or administrative support is an asset. Experience with work order processing, inventory management, and conformity documentation. Preferred familiarity with ERP systems and handheld data entry tools. Prior exposure to cross-functional collaboration (Delivery, Service, Finance).
