About the role

We’re looking for an Operations Analyst to help build and scale the systems that keep Kivo running.

You’ll initially own clinic and patient scheduling, ensuring patients and clinicians are where they need to be and that issues are resolved quickly. From there, you’ll identify opportunities to improve and automate these workflows, partnering closely with Product and Engineering to build better systems.

As the role evolves, you’ll take on broader special projects, solving increasingly complex problems across the company. This is an opportunity to grow your skills and scope quickly in a fast-paced healthcare technology startup, working closely with leadership and cross-functional teams and having a direct impact on how Kivo operates and scales.

What you'll do

Improve & Automate

• Identify inefficiencies and opportunities to improve existing workflows.

• Design and document better processes.

• Partner with Product and Engineering to automate manual work and build scalable solutions.

• Monitor new systems and manage exceptions as processes become increasingly automated.

Own Scheduling

• Manage patient rebooking, scheduling changes, cancellations, and makeup sessions.

• Coordinate clinician coverage, PTO, and patient moves.

• Monitor cohort fill and attendance and take action when issues arise.

• Coordinate across front office, clinical teams, and clinicians to keep operations running smoothly.

Own Special Projects

• Analyze operational data and identify opportunities for improvement.

• Build and implement new processes across the business.

• Support strategic initiatives, new programs, and other projects as Kivo grows.

• Take ambiguous problems from “something isn’t working” to “here’s how we’re going to fix it.”

Preferred qualifications

• 1+ years of experience in operations, business operations, healthcare, consulting, analytics, project management, or a related field.

• Strong organizational and analytical skills.

• Comfortable working with data and spreadsheets.

• Strong written and verbal communication skills.

• Ability to learn new systems and tools quickly.
