Operations and Project Manager Fuller Center for Spiritual Formation (FSF) EXEMPT STATUS : Non-Exempt FT/PT/TEMP: Part-time (subject to grant funding) HOURS: 25 Hours Per Week LOCATION: Hybrid or Remote Brief Description: The Fuller Center for Spiritual Formation (FSF) equips Christian organizations with pathways that foster spiritual formation and sustain mission. We are seeking an Operations and Project Manager to serve as the administrative backbone of this critical work, bridging our research with tangible, real-world impact. In this role, you will lead our operational infrastructure, ensuring that our partnerships, communications, and programmatic events are executed with warmth and excellence. Essential Functions: The Operations and Project Manager ensures that the Center’s mission is supported by efficient, reliable, and hospitable administrative practices across the following core areas: Financial, Sales, and Onboarding Administration (30%) Manage the financial and onboarding workflows for new partners and contractors. Optimize and maintain the integrity of FSF’s CRM database in Hubspot, ensuring accurate tracking. Process contractor forms and ensure prompt payments. Execute all financial documentation processes, including check requests, reimbursement forms, and transfer requests, ensuring strict compliance with Fuller’s Office of Accounting. Develop and maintain working relationships with other Fuller Seminary departments. Program and Event Project Management (30%) Manage end-to-end logistics for select Center programs, including registration processes, participant communication, and hosting digital meeting spaces. Format and distribute participant materials with an eye towards winsome communication and warm hospitality. Spearhead the tracking of coordinated project timelines and deliverables for B2B engagement initiatives. Occasional travel (1-2 trips per year) may be requested to support in-person events Communications Support (20%) Serve as the primary point of contact for the Center, managing the general inbound email inbox and webforms, answering questions, providing assistance and support, and routing communication. Execute and amplify the Center’s communication strategy by publishing articles, events, and resources to various channels (Email, Website, and Facebook). Maintain the team’s publishing calendar to ensure consistent communication. Team Logistics and Hospitality (20%) Make strategic and personal contributions to team meetings. Coordinate logistics and support for team meetings, including 1-2 meetings a year in person. Manage the team’s master calendar and proactively schedule upcoming meetings. Coordinate and plan logistics for staff appreciation events such as birthdays, work anniversaries, and holidays. Knowledge and Skills Required: Bachelor’s degree or equivalent experience. 3-5+ years of administrative, operations, or project management experience. Strong computer skills with high proficiency in Google Workspace, Zoom, and project management tools. Experience in customer relationship management (CRM) software (e.g., HubSpot) preferred. Excellent financial tracking and basic bookkeeping skills. Strong verbal and written communication skills with proven ability to provide superb customer service and hospitality. Highly accurate and detail-oriented with a big-picture context. Ability to work effectively both independently and as a member of a collaborative team, including multicultural sensitivity and good conflict resolution skills. A self-starter who can prioritize multiple tasks simultaneously, meet deadlines, and manage up to keep workload balanced. This position requires a background check. This position requires approximately 6-10 days a year of travel. This position is available for remote work within the United States.
