We’re looking for a highly organised and proactive Operations Assistant to help keep Massive Rocket’s day-to-day operations running smoothly. You’ll take ownership of company travel, bookings, orders, and event coordination, ensuring everything is arranged efficiently, accurately, and within budget.
You’ll also provide administrative support across People Operations, Finance, and internal systems, working closely with the Operations & Logistics Specialist and the wider team. This role is ideal for someone who enjoys keeping things organised, solving problems, and making sure the details are taken care of.
What Will You Do?
- Manage end-to-end travel arrangements, including flights, accommodation, transport, and detailed itineraries.
- Coordinate company events, team offsites, office days, and internal gatherings, including venues, catering, suppliers, and logistics.
- Liaise with vendors and service providers to compare quotes, manage bookings, place orders, and ensure timely delivery.
- Maintain accurate booking records, track costs, and ensure arrangements stay within approved budgets.
- Act as the main point of contact for employee travel and logistics queries, resolving issues quickly and proactively.
- Support employee onboarding and offboarding, including documentation, equipment coordination, and system access requests.
- Assist with employment contracts, offer letters, addendums, Statements of Work (SOWs), and other operational documents.
- Support finance administration by organising invoices, processing expenses, maintaining receipts, and assisting with payroll preparation when needed.
- Keep employee records, leave trackers, operational databases, and internal documentation accurate and up to date.
- Support the Operations team with administrative tasks, follow established processes, and identify opportunities to improve efficiency.
- Previous experience in an administrative, operations, travel coordination, logistics, or similar support role.
- Strong organisational and time-management skills, with the ability to manage multiple requests and deadlines.
- Excellent attention to detail and a consistent focus on accuracy.
- A proactive, resourceful approach to solving problems and handling last-minute changes.
- Strong written and verbal communication skills, with fluency in English.
- Confidence coordinating with employees, vendors, suppliers, and other stakeholders.
- Comfortable working with spreadsheets, shared databases, and digital tools.
- Able to work independently, take ownership of tasks, and follow through without constant supervision.
- Comfortable handling confidential employee and financial information with discretion.
- Willingness to learn new systems and support different areas of business operations as needed.
Desirable
- Experience coordinating international travel, company events, or team offsites.
- Experience supporting People Operations, payroll, invoices, or expense administration.
- Familiarity with HRIS, expense management, booking, and e-signature tools.
- Experience working in a startup, agency, or remote-first environment.
- An interest in process improvement, automation, and making everyday operations more efficient.
