Operations Integration Specialist

The Operations Integration Specialist provides hands-on operational, people-process, and administrative coordination for The Clearing. This role strengthens the firm’s ability to deliver high-quality client services by maintaining efficient internal workflows, supporting leadership decision-making, coordinating recruiting and onboarding, and ensuring employees and project teams receive timely operational support. The successful candidate is highly organized, discreet, responsive, comfortable managing multiple priorities, and able to build practical systems for a growing professional-services business. They will bring sound judgment, strong follow-through, and a service-oriented approach to supporting consultants, managers, executives, candidates, and external partners.


Operations Coordination

- Coordinate and improve recurring internal operational processes, calendars, workflows, trackers, and standard operating procedures.

- Support leadership with day-to-day business coordination, including action tracking, meeting preparation, follow-up communications, and implementation of operational decisions.

- Maintain accurate operational records, shared folders, templates, contact lists, organizational charts, staffing information, and internal process documentation.

- Coordinate internal deadlines and deliverables related to company operations, client project mobilization, compliance administration, and corporate reporting.

- Help establish practical, scalable operating rhythms for a growing consultancy, including weekly priorities, leadership action logs, hiring status reviews, and workforce-planning updates.

- Identify inefficiencies, gaps, bottlenecks, and recurring administrative burdens; recommend and implement streamlined processes, templates, and automation where appropriate.

- Support internal communication channels by preparing concise updates, reminders, announcements, and reference materials for employees and project teams.

- Coordinate administrative aspects of internal meetings, leadership retreats, all-hands meetings, training sessions, and team engagement activities.


Recruiting Support

- Coordinate end-to-end administrative and operational activities for recruiting, in partnership with hiring managers, executive leadership, external recruiters, and human resources support providers.

- Maintain recruiting trackers that provide leadership with visibility into open positions, candidate pipelines, interview status, offer decisions, anticipated start dates, and staffing needs.

- Draft, format, post, and maintain job descriptions and job announcements in coordination with hiring managers.

- Coordinate candidate sourcing activities, resume collection, screening logistics, interview scheduling, reference-check coordination, and candidate communications.

- Maintain a professional, responsive, and confidential candidate experience from initial inquiry through offer acceptance or disposition.

- Prepare interview materials, candidate summaries, scorecards, and debrief documentation for hiring teams.

- Support recruiting for management consultants, project managers, subject-matter experts, analysts, business-development personnel, and corporate-support roles, as required.

- Coordinate with leadership on talent forecasts tied to contract awards, pipeline opportunities, surge requirements, backfill needs, and strategic capability gaps.

- Help maintain a bench and candidate network for anticipated hiring needs, including qualified consultants with specialized federal, organizational-change, communications, program-management, or related expertise.

- Support offer-process administration, including preparation of offer documentation, coordination of approvals, and communication with candidates and relevant internal or external advisors.


New-Hire Onboarding

- Support the operational coordination of the new-hire onboarding process from accepted offer through early employment integration.

- Maintain and improve onboarding checklists, timelines, welcome materials, orientation schedules, and role-specific onboarding resources.

- Coordinate pre-start activities, including collection of required employment documents, system-access requests, equipment coordination, organizational introductions, and distribution of relevant policies and resources.

- Ensure new employees receive a clear, organized introduction to the company’s mission, culture, leadership expectations, operating practices, client-service standards, communication norms, and available resources.

- Coordinate orientation meetings with executive leadership, supervisors, project leads, human-resources partners, information-technology support, security personnel, and other relevant stakeholders.

- Track completion of onboarding requirements, mandatory training, policy acknowledgments, security or compliance actions, benefits enrollment coordination, and required employment documentation.

- Partner with supervisors to establish 30-, 60-, and 90-day onboarding milestones and help ensure new employees receive timely role clarity, project context, introductions, and feedback.

- Conduct or coordinate new-hire check-ins to identify onboarding barriers, clarify questions, improve retention, and strengthen the employee experience.

- Maintain confidential and accurate onboarding records in accordance with company policy and applicable privacy requirements.

Workforce and Project Support

- Assist leadership with workforce planning, resource coordination, employee roster maintenance, and staffing visibility across active projects and business-development opportunities.

- Maintain current information on employee roles, supervisor assignments, project allocations, availability, qualifications, certifications, and key skills, as directed.

- Support the administrative coordination of project starts, including team rosters, introductions, required access requests, onboarding checklists, and project-specific administrative materials.

- Help track key employee lifecycle actions, including start dates, role changes, supervisor changes, offboarding requirements, and transitions between projects.

- Coordinate with external payroll, human resources, benefits, accounting, information technology, legal, recruiting, or compliance providers as assigned.

- Support collection and organization of employee data needed for insurance, benefits, payroll, timekeeping, professional development, compliance, proposal, or workforce-planning activities.

- Assist with preparation of internal workforce reports, recruiting dashboards, staffing summaries, and operational status updates for leadership review.


Business Administration and Process Improvement

- Support administrative coordination of vendors, subscriptions, service providers, corporate tools, and recurring business services, excluding facility-related vendors and services.

- Support the maintenance of renewal calendars, vendor contacts, service records, procurement documentation, and operational files for assigned business services.

- Assist with expense, invoice, purchase, and documentation workflows as assigned, working closely with finance or accounting personnel.

- Support preparation of routine operational reports, management dashboards, staffing analyses, and executive briefing materials.

- Help create and maintain templates, guides, checklists, trackers, and knowledge-management resources that improve consistency and reduce administrative burden.

- Support implementation and adoption of collaboration, project-management, human-capital, applicant-tracking, and knowledge-management tools.

- Handle sensitive personnel, financial, client, and corporate information with sound judgment, confidentiality, and appropriate data-management practices.


Requirements

Required Qualifications

- Bachelor’s degree or equivalent combination of education, experience, and demonstrated professional capability.

- Five or more years of progressively responsible experience in business operations, professional-services administration, human resources coordination, recruiting operations, executive support, project coordination, or a related field.

- Experience supporting a consulting, government-contracting, professional-services, technology, or similarly fast-paced knowledge-services organization.

- Demonstrated experience coordinating recruiting processes, candidate communications, interviews, offer administration, and/or employee onboarding.

- Strong project-management and organizational skills, including the ability to manage multiple deadlines, stakeholders, and confidential workstreams simultaneously.

- Excellent written and verbal communication skills, with the ability to produce clear, polished, executive-ready correspondence and materials.

- Proficiency with Microsoft 365 and/or Google Workspace, including spreadsheets, shared-document platforms, calendars, presentation tools, and collaboration applications.

- High level of discretion in handling personnel, compensation, business-development, client, and company-sensitive information.

- Ability to work independently, exercise sound judgment, identify problems early, and bring forward practical solutions.

Preferred Qualifications

- Experience in a small or mid-sized management consulting, federal contracting, or professional-services business.

- Familiarity with government-contracting workforce needs, including contingent hiring, proposal staffing, key personnel, labor categories, and rapid project mobilization.

- Experience using applicant-tracking systems, HRIS platforms, onboarding systems, CRM tools, project-management platforms, or workflow-automation tools.

- Experience supporting distributed, hybrid, and remote consulting teams.

- Familiarity with basic employment, onboarding, privacy, records-retention, and personnel-documentation practices.

- Experience supporting recruiting and onboarding for cleared, security-sensitive, or federal client-facing positions, where applicable.

- Experience creating repeatable processes, dashboards, templates, and operating procedures for a growing organization.
