We are looking for a highly organized, proactive, and execution-driven professional for the position of Operations Manager / Executive Assistant (COO Support).

We are seeking a candidate with a strong background in supply chain operations, inventory management, purchasing coordination, vendor management, and operational tracking, combined with the ability to provide high-level executive support to the COO.

The ideal candidate is comfortable managing multiple operational priorities simultaneously, tracking inventory and product components from order through delivery, coordinating with international suppliers, maintaining accurate reporting, and ensuring that critical tasks are completed on time. This role requires strong ownership, urgency, attention to detail, and the ability to independently identify and solve operational problems.


The salary range is $1,200 USD to $1,800 USD per month, depending on experience and seniority.

The role is 100% Remote.

Responsibilities:

  • Own supply chain and inventory tracking across products, components, purchase orders, suppliers, and expected delivery dates.
  • Monitor inventory levels and product requirements to ensure all necessary components are ordered, tracked, received, and available on schedule.
  • Coordinate directly with international suppliers and manufacturers, particularly vendors located in China, Taiwan, and other overseas markets.
  • Proactively identify potential inventory shortages, supplier delays, purchasing issues, or operational bottlenecks and drive them through resolution.
  • Maintain accurate operational trackers, inventory reports, purchasing records, and supply chain documentation.
  • Support inventory planning, replenishment, procurement follow-up, order tracking, and vendor communication.
  • Analyze operational and inventory data using Excel to identify discrepancies, trends, risks, and required actions.
  • Maintain and manage CRM tracking and reporting, ensuring information is complete, current, and actionable.
  • Manage the COO's calendar, travel arrangements, email communications, meetings, and priorities.
  • Serve as a key liaison between the COO, executive leadership, internal departments, suppliers, and external partners.
  • Anticipate executive and operational needs, prioritize urgent requests, and ensure timely follow-through.
  • Handle invoicing, payment tracking, and light accounting-related responsibilities.
  • Maintain and update organizational and operational documentation, including the organizational chart.
  • Develop reports and summaries that provide leadership with visibility into inventory status, supplier performance, operational priorities, and outstanding issues.
  • Improve internal processes and reporting systems to increase visibility, accountability, and execution speed.
  • Be available to communicate with overseas suppliers during non-standard U.S. business hours when operationally necessary.
  • Take ownership of critical operational projects and ensure issues are resolved without requiring constant supervision.


Requirements:

  • Fluent in English, YOU MUST BE ABLE TO HAVE A FLUENT PROFESSIONAL CONVERSATION IN ENGLISH
  • 3+ years of experience in supply chain, inventory management, procurement, operations, purchasing, logistics, or a closely related role.
  • Strong experience managing inventory levels, product components, purchase orders, replenishment, supplier follow-up, and delivery timelines.
  • Experience coordinating with manufacturers, vendors, or overseas suppliers is strongly preferred.
  • Ability to identify supply chain risks and proactively resolve issues related to delays, missing components, inventory shortages, or vendor performance.
  • Advanced Microsoft Excel proficiency, including pivot tables, formulas, reporting, and data analysis.
  • Experience maintaining operational reports, inventory trackers, purchasing records, or supply chain dashboards.
  • Experience with CRM systems, reporting, and data management.
  • Experience with invoicing and basic accounting processes.
  • Experience with Odoo or similar ERP systems is strongly preferred.
  • Previous experience supporting a COO, founder, executive, or senior operational leader is a plus.
  • Strong written and verbal communication skills, with the ability to draft professional emails, reports, and business documents.
  • Comfortable working with remote and cross-functional teams.
  • Ability to manage multiple high-priority tasks in a fast-paced environment.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Available to work during standard U.S. business days and hours, regardless of public holidays in the candidate's country of residence.
  • Flexibility to communicate with international suppliers outside standard business hours when required.
