About Clovo
Clovo helps patients get fitter and better prepared before surgery, and recover well afterwards. Our app gives surgical and cancer patients a personalised daily plan across exercise, nutrition and mental wellbeing, guided by an AI coach and overseen by clinicians. We partner with NHS organisations and are setting up pilots with UK hospitals.
We're a small, early-stage team based in Glasgow, Scotland, with colleagues working remotely across Europe. We're backed by Scottish Enterprise and NHS clinician investors, and we build medical software in a regulated space, so getting the detail right matters.
Duties & Responsibilities
The role
We're at the stage where a lot is happening at once: fundraising, grant-funded projects, regulatory work, hospital pilots and a growing team. Our CEO is currently coordinating most of it, and we'd like someone to take that on properly.
You'll be the person who keeps everything organised and moving. You'll look after our planning and tracking, make sure deadlines and follow-ups don't slip, keep our external partners on schedule, and give the CEO a clear view of what's happening and what needs his attention.
You won't need to be an expert in healthcare, regulation or software. You'll work alongside the people who are. We're looking for someone organised, calm and proactive who enjoys bringing order to a busy environment.
What you'll do
Keep the business organised
- Own our tracker in Notion: every project, owner, next step and deadline
- Send the CEO a short written update each day: what moved, what's stuck, what needs a decision
- Arrange and facilitate the daily team check-in, capture actions and follow up on what's blocking people
- Prepare agendas, notes and actions for weekly meetings
Keep projects and partners moving
- Follow up with our lawyers, accountants, consultants and funding bodies so timelines hold
- Administer our grants: reporting deadlines, claims and supporting evidence
- Coordinate our regulatory and compliance paperwork: version control, document registers, review schedules
- Track hospital pilot set-up: contracts, information governance paperwork and readiness to go live
Support the team and the CEO
- Recruitment admin: scheduling, candidate communication, collating interview feedback
- Onboarding new team members and contractors
- The CEO's diary, travel and expenses, and over time, helping manage his inbox
- Preparing drafts of investor updates and keeping our document library in order
Desired Experience & Qualification
What we're looking for
- 3+ years in operations, project coordination, programme administration, or supporting a founder or senior executive
- Excellent written and spoken English. A lot of this role is writing to UK professionals, so clarity and tone matter
- Comfortable managing many moving pieces without losing track of the detail
- Happy to follow up with senior people politely and persistently
- Confident with Notion or similar tools (Asana, ClickUp, Monday), and Google Workspace
- Good judgement about what to handle yourself and when to escalate
- Fibre internet and backup power (inverter or UPS), so load-shedding doesn't stop your day
Nice to have, not essential: experience in healthcare, life sciences or another regulated industry; experience with grant funding or public-sector clients; experience working with a UK or European company; early-stage startup experience.
Package & Remuneration
The details
- Fully remote, anywhere in South Africa
- Hours: core hours 9am to 5pm UK time, Monday to Friday, full-time
- Pay: R28,000 to R38,000 per month, depending on experience
- Contract: independent contractor agreement with Clovo Ltd (UK). You'll invoice monthly and are responsible for your own SARS tax and benefits. Three-month initial period, then ongoing
- Reporting to: the CEO directly, with scope to grow into a Head of Operations role as we scale
