Salary Range: $58,000.00 To $68,000.00 Annually Summary The Operations & Project Specialist, LTC executes, coordinates, documents, and maintains recurring operational processes across SPS Health’s long-term care (LTC) business. The role supports GPO, PSAO, FMS, client onboarding, pharmacy data operations, operational reporting, Salesforce maintenance, Monday.com workflow maintenance, SharePoint resources, and cross-functional implementation work. Essential Duties and Responsibilities The duties listed below are not all‑inclusive and may be expanded as needed at management’s discretion. Employees are expected to maintain confidentiality, follow all company policies, and perform additional responsibilities as assigned. Support GPO and PSAO Operations: Perform roster, enrollment, eligibility, account and location validation, PBM tracking, reporting, audit, and follow-up activities. Support FMS Operations: Execute established submissions, reporting, reconciliation, tracking, and documentation workflows. Perform Salesforce Maintenance: Complete approved account updates, bulk maintenance, ownership and territory changes, data cleanup, imports, reporting, and routine quality audits. Maintain Monday.com Workflows: Build and maintain approved boards, statuses, dashboards, forms, dependencies, automations, and recurring workflow structures under Manager direction. Maintain SharePoint Resources: Maintain libraries, SOP repositories, templates, controlled documents, versioning, archive structure, and team resources. Support Client Onboarding: Maintain plans, checklists, dependencies, data requirements, action items, and readiness status; coordinate routine follow-up. Monitor Pharmacy Data Feeds: Monitor expected submissions, identify gaps, perform standard business validation, conduct routine outreach, and escalate technical exceptions. Coordinate Projects: Maintain workplans, action logs, milestones, dependencies, risks, meeting notes, decisions, and stakeholder follow-up. Perform Reporting and Reconciliation: Prepare recurring reports, rosters, trackers, audits, and reconciliations; investigate discrepancies and escalate material findings. Maintain SOPs and Process Maps: Draft and update procedures, checklists, templates, workflows, and training materials. Support Trade and Contract Handoffs: Complete assigned system, reporting, documentation, roster, onboarding, or data activities after business requirements have been approved and handed off by Trade, Client Services, Account Management or another business owner. Support Process Improvement and Testing: Identify recurring pain points, assist with workflow design, and support testing and implementation of approved changes. Provide Cross-Coverage: Maintain proficiency as trained secondary coverage for assigned critical workflows and periodically perform backup responsibilities. Qualifications 2–4 years of experience in business operations, project coordination, implementation, healthcare operations, client operations, or a related function. Ability to manage multiple workstreams, recurring deadlines, and dependencies. Experience maintaining structured processes, systems data, project plans, SOPs, or workflow documentation. Strong organization, attention to detail, written communication, and follow-through. Ability to independently execute recurring work while escalating exceptions appropriately. Preferred Experience Experience using artificial intelligence tools, such as Claude or Microsoft Copilot, to support research, documentation, data analysis, project coordination, and business communications. Monday.com workflow automation and dashboards. Salesforce bulk-data-management or reporting experience. Tableau sFTP, WinSCP, ShareFile, Azure Storage Explorer, or comparable exposure. FrameworkLTC, QS/1/RedSail, SuiteRx, or other pharmacy-management-system exposure. Healthcare, pharmacy, PBM, LTC, GPO, PSAO, onboarding, implementation, or process-improvement experience. Work Environment Full-time hybrid role based in the Milwaukee, Wisconsin office. Approximately 5% travel may be required based on business needs.
