Role Overview
We're looking for an exceptional Operations Specialist who enjoys solving problems, improving systems, and helping every part of the business operate more efficiently.
This is a highly varied role where no two days are the same. You may be onboarding new clients, coordinating with internal teams, managing operational projects, assisting with finance and reporting, improving SOPs, supporting hiring, organizing documentation, or solving unexpected issues that arise across the business.
You'll work closely with leadership and collaborate across Operations, Client Success, Finance, HR, Media Buying, and Creative.
This role is ideal for someone who enjoys ownership, learns quickly, communicates well, and takes pride in making businesses run smoothly.
This is a fully remote position.
Key Responsibilities
- Coordinate and manage operational projects across multiple departments
- Support client onboarding and internal account setup
- Create, maintain, and improve SOPs and internal documentation
- Assist with finance administration, reporting, and operational processes
- Coordinate tasks across Slack, ClickUp, Google Workspace, and other internal systems
- Monitor projects to ensure deadlines are met and nothing falls through the cracks
- Identify inefficiencies and implement process improvements
- Work closely with leadership to solve operational challenges
- Assist with recruiting, onboarding, and administrative tasks when required
- Communicate with internal teams and external clients professionally
- Learn new systems and tools quickly as business needs evolve
- Take ownership of problems and drive them to completion
Qualifications & Requirements
- 2+ years of experience in Operations, Project Management, Executive Assistance, Customer Success, or a similar role
- Excellent organizational and time management skills
- Strong written and verbal English communication skills
- High attention to detail
- Strong problem-solving ability
- Comfortable managing multiple priorities simultaneously
- Ability to work independently with minimal supervision
- Proactive mindset with a strong sense of ownership
- Comfortable working in a fast-paced remote environment
Preferred Skills & Bonuses
- Experience using ClickUp, Slack, Google Workspace, Hubstaff, or similar tools
- Experience working in a digital marketing, ecommerce, or agency environment
- Familiarity with Google Ads, GA4, GTM, Merchant Center, Shopify, or related platforms
- Experience creating SOPs and improving operational workflows
- Experience supporting finance, HR, recruiting, or client onboarding
- Comfortable using AI tools to improve productivity and workflow efficiency
