We’re looking for an Operations Specialist to join our growing team and support critical business operations across a variety of internal functions. This remote-based role is ideal for a highly organized professional with experience in ERP and CRM tools, timekeeping processes, meeting coordination, and invoice tracking. As an Operations Specialist, you’ll work closely with cross-functional teams to maintain workflows, support customer interactions, and ensure smooth day-to-day administrative operations.
What You’ll Do:
- Maintain business forecasts, division activity logs, and monthly backlogs
- Support planning and reporting using the company ERP tools and templates
- Open and update CRM opportunities, SharePoint folders, and timekeeping records
- Track revenue accruals and clearances, and verify profit against established goals
- Analyze labor and expense costs to support operational reporting
- Assist with T&C and NDA negotiations and keep documentation current
- Coordinate meetings, travel, and accommodations for operational activities
- Retrieve and verify Purchase Orders; ensure accuracy of commercial information
- Create and track both fixed and T&M invoices; follow up using aging reports
- Support vendor and customer setup; collect and manage necessary documentation
- Manage daily administrative functions and help resolve customer issues
- Maintain confidentiality of sensitive commercial, financial, and project information
The Experience We’re Looking For:
- 5+ years of experience in an administrative, operational, or office support role
- Proficiency in Microsoft Outlook, Excel, Word, PowerPoint, and Teams
- Experience using ERP and CRM systems for tracking, reporting, and coordination
- Strong attention to detail and the ability to work independently in a remote setting
Additional Requirements:
- Able to work remotely with minimal supervision
- Must successfully complete a background check and pre-employment/random drug tests
- Valid driver’s license (for occasional travel if required)
- Legally authorized to work in the United States
Bonus Points for:
- Bachelor’s degree in Business or a related field preferred
- Experience supporting engineering operational teams.
- Familiarity with commercial contract workflows and timekeeping systems
- Prior experience supporting professional services or engineering teams
- Experience working in a fast-paced, remote-first environment
