Description
SUMMARY:
The Operations Specialist provides essential support to the Operations team by assisting with both routine tasks and special projects. This role enhances departmental efficiency through operational and administrative support, working closely with the On Site Evaluation team and collaborating with other departments as needed. The ideal candidate will possess strong writing skills and have experience responding to inquiries, resolving issues, and addressing complaints. This role may be either Monday - Friday or Wednesday through Sunday depending on business needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responds to emails received in the “CAP Reply” inbox within 12 hours of receipt
- Creates Member Issue Resolution Forms (MIRF’s) as needed to resolve issues
- Conduct follow-ups with both Members and dealers
- Assist with the WEB Survey inbox
- Analyze web surveys and respond to the individual needs of the member
- Creates Program Administration Changes (PAC’s) for Field team
- Review and enter data that is provided from On Site Evaluations
- Assist with completion of spreadsheets recapping an onsite evaluation trip
- Contributes to the team by suggesting opportunities for improvement
- Participates in weekly department meetings
- Other duties as assigned
Requirements
REQUIREMENTS/QUALIFICATIONS:
- High School Diploma or GED required; minimum of 2 years of experience in an office environment, preferably in an administrative or support role.
- Demonstrated ability to deliver excellent customer service in a professional setting.
- Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
- Strong organizational skills with a keen attention to detail.
- Accurate and efficient data entry capabilities.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast paced environment.
- Proven ability to identify issues, troubleshoot problems, and drive tasks to resolution.
- Ability to work independently with minimal supervision as well as collaboratively within a team.
- Demonstrates a positive, professional, and “can do” attitude.
- Comfortable working under pressure and adapting to changing priorities.
