Position Summary
The Admissions Coordinator will respond to incoming telephone inquiries, oversee subsequent communications, and actively coordinate multiple phases of the admission process for clients seeking behavioral health services.
Relationships and Contacts
Within the organization: Maintains frequent and close working relationships with executive directors, office coordinators, National Director of OP Admissions, Regional Supervisors, Leads, and peers.
Outside the organization: Maintains frequent contact and builds appropriate relationships with potential clients, families, referral partners, and vendors as needed/directed.
Position Responsibilities
Essential Responsibilities
- Offers empathetic and knowledgeable assistance to individuals seeking behavioral health services, including providing information, answering questions, and ensuring a supportive experience.
- Demonstrates effective communication skills to connect with callers creating trust and understanding during the initial conversation.
- Collects relevant details about the client’s needs, symptoms, and preferences, assessing what services align with the client’s requirements.
- Adheres to predefined call procedures ensuring consistency/efficiency including following up with clients as needed to maintain continuity and quality of service.
- Ensures smooth admissions by effectively communicating with key admissions decision-makers and various stakeholders, coordinating information, addressing concerns, and facilitating collaboration.
- Assists clients in understanding their insurance coverage and financing options including explaining benefits, costs, and payment arrangements.
- Guides clients and their families through treatment choices highlighting the advantages of specific facilities and address any barriers to accessing care.
- Determines appropriate level of care by assessing client’s clinical needs during pre-admission screenings.
- Coordinates tours and admissions by organizing schedules, providing necessary information, and ensuring a smooth transition for clients.
- Delivers exceptional service by remaining well-informed through continuous education and diligent reading of relevant materials.
Additional Responsibilities
- Functions within the guidelines of the company’s Code of Ethics and in accordance with corporate compliance.
- Assists in promoting and ensuring that the mission, goals and objectives of the Odyssey Eating Disorder Network are understood and actively supported by the employees.
- Adheres to company policies, procedures, rules, and regulations, implementing regularly.
- Attends and completes all training within assigned time frames as required by the facility.
- Writes clearly, informatively, and effectively.
- Performs other duties as assigned.
Qualifications
Minimum Requirements
Education and Experience
Position requires bachelor’s degree or equivalent in combined education and experience. Position requires a minimum of 2 years of experience in a behavioral healthcare setting, preferably with clients with mental health challenges. Admissions experience in a fast-paced environment, strongly preferred.
Physical Requirements
• While performing the duties of this job, the employee will be required to communicate with peers/general public, clients, and/or vendors.
• Job performance will require the ability to sit or remain stationary for extended periods of time.
• While performing the duties of this job, the employee may be required to talk or hear, sit, stand, walk, reach, climb or balance, stoop, kneel, crouch or crawl, taste or smell.
• Ability to move 25 pounds

• Proficient with computer software applications including Outlook, Word, and use of standard office equipment. Advanced knowledge of Excel preferred.
• Performs duties independently, responsibly, with an elevated level of integrity, and the ability to exercise sound judgment and discretion.
