Profile Requirements:

  • Minimum 3 years of experience as a legal assistant, legal secretary, or paralegal in a law firm environment
  • Daily working proficiency in LEAP legal practice management software is essential
  • Excellent spoken English with a clear, warm, and confident telephone manner when dealing with distressed professional clients
  • Strong discretion and sound judgment with the ability to follow written procedures independently and recognise when matters must be escalated to a lawyer
  • High attention to detail and accuracy when managing matters, billing, documents, and critical diary dates
  • Reliable and self-directed with the ability to manage front-end legal administration independently during Melbourne business hours

Core responsibilities:

  • Answer all incoming calls on the VXT phone system, take accurate messages, and record them on the relevant matter in LEAP
  • Take new client enquiries including capturing contact details, referral source, and matter type, and triage against the firm's practice areas
  • Book initial consultations with the appropriate lawyer, issue consultation invoices, confirm payment before the appointment, and manage confirmations and reschedules
  • Run conflict checks and open matters in LEAP with the correct client name, matter description, and billing basis
  • Prepare costs agreements and trust deposit letters from firm templates, issue them, follow up, and record acceptance
  • Prepare the fortnightly billing run in LEAP Accounting including reviewing time entries, correcting descriptions, generating and sending invoices, and following up debtors
  • Maintain the firm diary and enter hearing dates and deadlines as critical dates in LEAP
  • Triage and file the Principal's inbox promptly and accurately
  • Format letters and documents on firm templates and prepare court books and bundles
  • Keep clients updated on routine steps and chase outstanding documents without requiring direction on routine matters
